The Guest Services Assistant plays a key role in delivering an exceptional front-of-house experience for members and guests at a prestigious organisation. Reporting to the Head of Department, this role ensures the smooth running of reservations, enquiries, and guest interactions while maintaining the highest standards of customer service. The role is ideal for an experienced and well-presented receptionist who thrives in a fast-paced and professional environment.

Key Responsibilities:

  • Assist the Head of Department in ensuring smooth and efficient departmental operations.
  • Handle enquiries and reservations (via phone, correspondence, and in-person) from initial contact to confirmation.
  • Manage room allocations and bookings efficiently and accurately.
  • Provide effective and timely handover reports to colleagues.
  • Meet and greet guests, ensuring a welcoming and professional service.
  • Support guests with bookings, transport arrangements, and local information.
  • Efficiently handle incoming calls for all departments, ensuring prompt and professional communication.
  • Perform administrative tasks as directed by the Office Manager.
  • Play an active role in emergency procedures, including fire evacuation.
  • Ensure compliance with all company Health & Safety procedures and policies.
  • Maintain discretion and professionalism at all times.

Experience Ideally Required for this Role:

  • Proven experience in a busy front-of-house or receptionist role
  • A positive, cooperative, and friendly demeanour
  • Strong ability to build rapport with members and guests
  • Excellent organisational and communication skills
  • Ability to work effectively in a dynamic, team-oriented environment
