Due to the relocation of our current Sales Order Processing Supervisor, we are looking for a replacement to join our team at Chobham. This is an interesting and varied role overseeing 4 administrators and 3 Picker/packers. We are a leading commercial garden nursery supplying customers across the London and South East areas. The role will involve the supervision of the daily workload and staff, ensuring the order process runs accurately and smoothly from initial enquiry to quotation, order processing, picking and ultimately delivery, ensuring our customers receive the correct orders on time and being the customer service point of contact throughout the process.
Working Mon to Fri 8am to 4.30pm with onsite parking, 23 days hol plus bank hols, pension and staff discount. The role would suit candidates who have some experience of overseeing a team and who can demonstrate both excellent administrative order management skills plus professional customer service skills too.

Reporting into the MD you will be responsible for the effective administration of the Sales Office Function and all associated quotes, orders, customer deliveries and customer service.

Responsibilities:

  • To optimise the day to day running of the sales and picking processes.
  • To ensure timely and accurate completion of sales office and picking tasks.
  • To identify strengths and weaknesses amongst the office ad picking team and to train and motivate
  • to achieve the required standards of performance.
  • To ensure that all Company Policies are adhered to.
  • To maintain morale and discipline amongst office and picking staff.

Specific Duties:

  • Ensuring communications are maintained between yourself and the rest of the Sales Team to discuss and prioritise work.
  • Manage the picking team to lead their workload, monitoring the outstanding orders in the tray and working with the team to source missing plants to fulfil orders.
  • Supervising Sales Office staff to ensure that the highest levels of customer service are maintained.
  • Managing the sales office staff to ensure that plant shortages and substitutes are communicated to the relevant customer at the earliest opportunity.
  • Assisting in answering telephone calls, replying to and dealing with customer queries that other members of the team cannot deal with.
  • Liaising between drivers and customers on delivery days
  • Managing uploads to the Company website to ensure continuity of accurate data.
  • Using Wintree software to raise quotations, order acknowledgements, picking lists, delivery notes and invoices.
  • Maintaining the security and integrity of the Wintree and Sage systems by daily data transfers and backups.
  • Assist in the printing of labels to given specifications and ensuring that the Picking Team have accurate information
  • Managing and developing management information systems to improve the effectiveness of the operation of the business.
  • Become one of the Company’s experts in the Wintree system.
  • Working with the MD and the Board of Directors to develop the Companies Sales and Administration systems for the purpose of improving efficiency and accuracy of the relevant processes.
  • Assist in researching and developing responses to regulatory change.

To be successful you should have strong and confident PC skills as we have recently installed a new IT system. Proven experience of sales order processing raising quotes, overseeing staff and ideally working in a role whereby you are seeing the order process through from enquiry and quotation to delivery and any associated customer service too. Any interest in horticulture would be an advantage but not essential.
