Summary:
A growing and successful financial services company based just outside of Wolverhampton, are currently looking for an experienced Administrator to carry out the completion of business tasks and processes for Financial Advisers, ensuring both advisers and clients are prepared for meetings in advance and that all client queries and tasks are completed in a timely fashion and to a high standard.
Experience required includes:
- 2 years Administration experience within the financial services / wealth management sector
- A high standard of clerical abilities including accurate typing and data entry etc.
- Excellent communication and relationship building skills both internally and externally
- Strong organisational and prioritisation skills
- Be able to use initiative when working unsupervised and also be able to contribute effectively as part of a team
Day to day responsibilities for the Administrator include:
- Preparng Financial Advisers for their meetings with the client and to always represent the company positively
- Making appointments for clients and calling them in advance to confirm, sending out any relevant pre-meeting information
- Answering and logging all incoming client calls appropriately onto Salesforce software system, passing on messages to relevant personnel
- Prepare new and existing client meeting packs
- Generating wealth account reports, investor returns, Company valuation documents, and any other necessary information for the advisor in advance of the meetings
- Creation and updating of Salesforce records to ensure that GDPR, FCA and Company / Group protocols are adhered to
- Generating correspondence to clients, including Post Review Letters
- Liaising with external providers and companies by way of letter, telephone, and email to chase information requests
- Processing fund switches, rebalances and withdrawals along with any other post meeting actions
- Processing withdrawals at the clients request
- Prepare business submission documents, for onward allocation to the Paraplanning team
- Liaising with the Paraplanning team to ensure client presentations are obtained ahead of meetings and escalate where necessary
- Managing own and/or advisors mailbox in a timely and professional manner
- Prioritising and managing your own workload
- Obtaining and maintaining a good knowledge of products offered
- Managing own learning and development, attending relevant training sessions where needed
- To uphold the standards of the client service charter
- Participation in Administration team meetings
- Provide cover for other team members upon request as per the business need
