Office Administrator

Our Client is a small but very entrepreneurial and growing firm of Accountants based outside of Wolverhampton City Centre. Due to this continued growth they need to recruit an energetic and proactive Practice / Office Administrator

The firm aim to provide a competent and efficient service to all of their clients so this a key role within their team. You will report directly into the Practice Manager and will contribute to the business by:

  1. Phone Calls and Reception
    1. Front of house Inbound Calls
    2. Meet and Greet at the offices
    3. Prep and maintenance of client meeting rooms
  1. Management of Client Relationships and Work Schedules
    1. Producing & Maintaining Client Contact Database
    2. Producing Client Deadlines Sheet
    3. Ensure Client Files are kept up to date and organised for easy reference
    4. Obtain Good News Stories for the firm’s newsletters
    5. Scheduling Projects for Client Workflow
    6. Ensuring your clients workflows are up to date
    7. Client Invoicing and Credit Control
  1. Practice Development - Work closely with the Practice Manager to:
    1. Improve Internal Processes within the Practice
    2. Office Management Including

i. Process for Storing Work In Progress

ii. Ensure office is equipped with adequate stationery

iii. General Tidiness

  1. Ensure Client Filing and Information Management is managed appropriately
  2. Ensure Job/Project Data maintenance on Internal Systems
  1. Client Advisor Support
    1. Support with Year End Reminders
    2. On-line submissions to HMRC
    3. Client Adhoc Correspondence
    4. Calls to HMRC for simple enquiries
    5. General Client Admin Support and Comms
  1. Company Secretarial
    1. Monthly Confirmation Statements
    2. Basic Company Amendments
    3. Maintaining CoSec module for client bank

The successful candidate will have had prior office administration exposure. You will have a strong customer service orientation, have excellent organisational and planning and have a positive and determined attitude.
