Our client based in the Wolverhampton area is looking for an Office Manager / PA to play a pivotal role in providing support primarily to the MD and to assist in the day to day running of a large office building with 120+ employees. This is a busy and varied position, and the ideal candidate will be skilled in creating and maintaining meaningful and strong relationships. This role could also involve occasional overnight travel with the MD to conferences and act as organiser to ensure that all required commitments are fulfilled.

Executive Assistant Key Responsibilities:

  • Management of a complex and busy diary including prioritisation and proactive forward planning, inbox management, drafting correspondence, coordinating & scheduling meetings and booking appointments.
  • Communicating and dealing with enquiries on behalf of the MD, that are well researched, accurate and timely.
  • Extensive travel planning with detailed itineraries for all UK and overseas travel - to optimise time management.
  • Prepare agendas, presentations and documents for meetings and support with note taking as required - this includes carrying out any research so that the MD is fully-briefed ahead of meetings.
  • Support projects within the function and across the Companies as required.
  • Arrange internal and external events as required.
  • Provide Social Media support on behalf of the MD as well as researching and identifying opportunities using LinkedIn.
  • Administration support: general administration support to help cover annual leave.
  • Facilities Management, including organising building repairs and services. (logging meter readings)
  • Liaising with contractors and officials to get works carried out to specified requirements.
  • Responsible for security, heating, fire and air conditioning systems and services.
  • External grounds care, including building work, car park, garden and security gates services.
  • Allocate EV charging allowance and usage.
  • Booking conference tickets and distribution to attendees
  • Assist in arranging client visits and events to Head Office and help set up rooms.
  • Set up visitors on the VMS prior to their arrival.
  • Organise food and refreshment catering for functions and visitors.
  • Generate various reports for Head of Departments.
  • Daily check of offices, meeting rooms and general facilities and liaise with cleaning provider.
  • Daily checking of drinks stations and replenish where necessary.
  • Assist or run special projects such as: office re-organisiations, office redecoration, Christmas decorations, and so on

Executive Assistant Key Skills and Experience:

  • Previous experience working as PA or similar capacity ideally.
  • Excellent verbal and written skills and a confident persona.
  • Proficient in Microsoft packages - especially Word and PowerPoint
  • Attention to detail.
  • Good social media skills; in particular LinkedIn
  • You will not be fazed with any challenge and have a can do attitude
  • Efficient, able to work under pressure and at pace, with great communication skills
