Think Community Partnership are supporting awell-established housing association based in Worcester, dedicated to providing safe and well-maintained homes for residents. The Grounds Maintenance, Caretaking, and Cleaning team ensures that all communal spaces are clean, safe, and inviting for tenants. We are currently seeking a highly organised and proactive individual to join their team in a Coordination and Administration Support role.

Key Responsibilities:As the Coordination and Administration Support for the Grounds Maintenance and Caretaking and Cleaning teams, you will play a crucial role in ensuring the smooth and efficient running of the department. Your responsibilities will include:

  • Organizing and maintaining team schedules, ensuring that all tasks are allocated efficiently.
  • Managing incoming queries, emails, and correspondence related to maintenance and cleaning.
  • Supporting the coordination of grounds maintenance schedules across various housing sites.
  • Liaising with external contractors and suppliers to organise services, repairs, and equipment orders.
  • Maintaining accurate records of maintenance schedules, cleaning logs, and inventory.
  • Updating systems with relevant information regarding completed tasks, outstanding jobs, and staff timesheets.
  • Acting as a point of contact between residents, caretakers, cleaners, and the wider housing association team.
  • Providing clear communication and updates regarding maintenance schedules and any issues or delays.

Skills and Qualifications:

  • Proven experience in an administrative or coordination role, ideally within property management, facilities, or maintenance sectors.
  • Strong organisational skills with the ability to manage multiple tasks and priorities.
  • Excellent communication skills, both written and verbal.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to work independently as well as part of a team.
  • A proactive approach to problem-solving and ability to adapt to changing circumstances.
  • Experience with scheduling systems or software is advantageous.
