DUTIES
Your duties as the Senior Operations Coordinator include:
- Operational Planning: Coordination of global operational tasks, operative tasking, briefing, and logistics ensuring efficiency, accuracy, and adherence to company protocols. Liaise with clients and external vendors, ensuring smooth communication and strong relationships
- Resource Allocation: Engage with global security partners, vendors, and operatives for scheduling and deployment of resources, ensuring optimal utilisation based on task needs and priorities
- Operational Coordination: Manage task timelines, milestones, and deliverables, coordinating with cross-functional teams to meet task or project requirements
- Operational Support: Oversee logistics and operational support across the team, ensuring accurate task coordination and reporting on security operations
- Document Oversight: Creation, distribution, and organisation of task, client, supplier, and operative documentation. Analyse the workflow to identify and implement improvements
- Compliance and Protocol: Ensure all operational activities comply with industry regulations, company policies, and international protocols. Conduct internal file audits and ensure team stay up to date on regulatory standards and perform tasks in compliance with regulatory expectations
- Supplier and Partner Relations: Lead initiatives to onboard new suppliers and operatives, including conducting due diligence on partners, ensuring they meet the companys compliance standards
- Financial Supervision: Manage the reconciliation and administration of task files, including supplier, client, and operative invoicing. Establish and maintain organised, efficient systems to streamline operational processes and enhance productivity
- System and Process Optimisation: Identify opportunities to streamline processes, improve workflows, and enhance operational documentation and procedural efficiency. Aligning practices with ISO standards to deliver superior service and operational excellence
CANDIDATE REQUIREMENTS
- Operational Expertise: Must have previous experience in logistics coordination, scheduling, operational planning and / or task and resource management.Experience in Security Risk Management highly beneficial
- Strategic Organisation: Strong organisational skills, time management, attention to detail and ability to manage multiple priorities calmly under pressure while coordinating global security tasks
- Effective Communication: Excellent written and verbal communication skills are required to represent the Group across all client, supplier, partner and stakeholder interactions
- Problem-Solving: Demonstrated ability to think critically and solve complex operational challenges
- Compliance and Regulation: Knowledge of compliance standards are essential to ensure the company operates within legal, ethical, regulatory and Health & Safety parameters. Experience of risk management standard within security industry is preferred
- Tech Proficiency: Advanced proficiency in Microsoft Office Suite and proven expertise in CRM, Database and Project Management software is necessary. Understanding of cybersecurity principles preferred
- Document Control: Skilled in preparation, management and tracking of accurate and transparent records.
- Confidentiality: Proven track record of handling sensitive information with discretion and integrity
