Secretary/PA

Our client is an independent accounting and advisory firm, priding themselves on consistently delivering success and wealth for their clients.

We are seeking a friendly, self-motivated PA/Secretary who is a team-player and has strong organisational skills, attention to detail and the ability to prioritise, to assist two of our Partners.

Good communication skills (both written and oral) are essential as you will be required to liaise directly with clients on behalf of the Partners, and to work closely with the wider team.

Main Duties

  • Management of Partners’ Outlook mailboxes - responding to/forwarding emails where appropriate, organising folders/sub folders, managing junk mail, meeting requests, drafting emails on behalf of Partners, saving emails in accordance with the Firms’ policies.
  • Meeting management - ensuring required documents are available, diarising and chasing actions, issuing agendas.
  • Taking and typing meeting notes, file notes and other correspondence.
  • Proactively reviewing tasks/meetings with Partners on an agreed basis and liaising with the team regarding work progress and deadlines.
  • Collating documentation required for compliance purposes.
  • Assisting with Staff Partner and Training Partner duties.
  • Co-ordinating and prioritising own workload provided from Partners.

Person Specification Education/Qualifications:

  • RSA Typing II (or equivalent) is desirable Other:
  • The ability to remain focussed under pressure
  • The ability to recognise matters which are sensitive and to maintain confidentiality

Key Skills

  • Excellent written and oral communication
  • Full use of Microsoft Outlook to manage Partners’ diaries
  • Transcribe from conversations, draft Word files and handwritten documents
  • Arranging meetings with clients, potential clients and contacts
  • Booking of travel, hotels and restaurants
  • Competent in key software packages - Microsoft Office suite (Excel, Word, PowerPoint)

This is a permanent, full-time role (37.5 hours per week)

The position is office-based, but there will be scope for some home-working if desired when circumstances allow.
