  • Duties: Providing telephone and reception services, managing appointments, handling payments, archiving, ordering supplies, updating fire safety procedures, attending meetings and training sessions.

Our client are an established and leading Law firm, based in York City Centre. They are looking for a Client Services Assistant to join their team on a permanent basis.

The purpose of the role is to provide an effective and efficient telephone and reception service to all callers to and members of the Company.

Duties include:

Telephone

路 To respond to enquiries from all callers to the Company鈥檚 telephone service.

路 To provide accurate information to callers on the departments and activities within the Company.

路 To provide information on specific services operated by the Company.

路 To distribute calls accurately and efficiently to others within the Company

路 To retrieve messages left on the system overnight and forward on

路 Arranging appointments for appropriate staff to "swear" documents

Reception

路 To attend to clients who have appointments/do not have appointments

路 To attend to deliveries left with reception as appropriate

路 To ensure fax machine is in good working order

路 To manage distribution of incoming faxes, ensuring they reach the correct destination asap.

路 To take payments from clients in accordance with the Cash Handling Policy

路 To book interview rooms on the IT system as required

路 To send and receive emails

路 To search for client information on database as and when required

路 Advise HR of daily sickness

路 Ensure reception area is always tidy and welcoming

路 To be responsible for locking the front door at the official closing time and opening in the morning

In addition:

路 Archiving

路 Ordering train tickets

路 Taking swear fees

路 Ordering couriers

路 Using the paging system

路 Witnessing documents

路 Updating Fire Head Count List/procedure to follow in case of fire

路 Carry out the weekly tests of fire alarm and panic alarm

路 Preparation of files for scanning

路 Manage the Advice inbox and distribute emails accordingly

路 To make appropriate recommendations for service improvement

路 To attend training/refresher courses as required by the Department Head

路 To attend department meetings as required

路 To co-operate and take part in all Company policies and procedures

路 To undertake any other appropriate duties as may be required.
