SUMMARY
Ensure yard accuracy to maximize warehouse productivity by performing inbound and outbound gate verification activities for truck and automobile traffic into the facility’s premises. Operate the Sysco Warehouse Management System (SWMS) and Transportation Management System (TMS) accordingly to support the gate verification activities. Direct all inbound and outbound carriers/drivers and visitors to the proper location at the facility. Perform all duties safely, accurately and meet set productivity goals and expectations.
ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:
Inspect inbound and outbound trailers for significant/noticeable damage, as well as any damage which may be relevant to food safety compliance such as dents, holes, cracked or broken door hinges, etc., seal integrity and reefer unit status (temperature and fuel level). Follow Preferred Work Methods (PWMs) for immediately reporting of any damages, seal discrepancies, low reefer fuel situations and temperature discrepancies.
Act as the liaison between the carriers, drivers, contractors and the Sysco facility to ensure all personnel adhere to safety requirements and procedures to maintain a safe and productive working environment.
Supports food safety policies, standard operating procedures, and prerequisite food safety control programs that meet legal and quality requirements and industry best practices as defined in our Food Safety Commitment documentation.
Report any issues with trailer refrigeration equipment (reefer) immediately to the carrier and/or Sysco management. When possible, resolve reefer issues to avoid loss of product due to temperature abuse (may include turning reefers on and off, priming, reporting low fuel levels or other error codes).
Accurately check outbound shipments off the yard using SWMS, verifying correct trailer, seal, and temperature. Complete gate section of Outbound Load Form (OLF) verifying information on the trailer matches the outbound load form, and that the refrigeration unit is set to the correct temperature and is preforming as expected before releasing the driver.
Maintain accurate yard data utilizing warehouse management system (SWMS).
Utilize Microsoft Teams to add scheduled live outbound shipment trailer and status information in designated Microsoft Teams Log to ensure the warehouse is aware when live drivers are on yard. Communicate assigned dock door to driver at check in if warehouse has already assigned dock door in Microsoft Teams log before driver arrives or call driver down from designated area once warehouse provides dock door.
Ensure all paperwork for outbound UUC freight forward has been scanned with the outbound load form for one-way shipments. If paperwork is missing, send email to designated warehouse DLs to request the paperwork.
Monitor and maintain the “Pre-Cool” section of the yard. Advise drivers to turn on and set their reefer units as needed.
Perform temperature/fuel checks and yard checks on dropped trailers as needed. Scan copies of the temperature checks to SharePoint or the required distribution list.
Communicate and work effectively with immediate supervisor and/or lead to identify and resolve all issues arising from yard management activities and help to improve the process and accuracy of the yard management process.
Effectively research, track, and resolve (or properly refer) documentation problems and discrepancies to supervisor or as appropriate.
Properly record, monitor, and direct placement of drop, one-way, and dedicated trailers in and out of the facility to ensure all standards and compliance criteria are being met.
Check inbound shipments in accurately using SWMS, verifying seal number, temperature, and reefer fuel level (if refrigerated shipment).
Obtain inbound live drivers names and phone numbers upon check in entering accurate information into the Inbound Log. Send live drivers that are early for their appointments to the OTR lot or destinated area. Call drivers waiting in the OTR lot or designated area when the dock is ready for driver, providing dock door for driver to be unloaded. Check in the live driver using the inbound log and SWMS.
For shipments containing hazmat (hazardous materials), verify that the trailer is properly placarded and that the driver has completed and signed the Hazmat Verification Form.
Print hazmat BOLs for all RDC outbound carriers verifying hazmat information on BOL matches daily Hazmat list. Scan a copy of hazmat BOLs to the carrier after the driver has signed our copy.
Log visitors and contractors that enter and depart through gate houses using the electronic visitor tracking system. Provide visitors who enter the building with a name badge. Check out visitors who exit through the gates.
Communicate with Central Warehouse and European Imports inbound delivery information via email and Teams spreadsheets.
Communicate with the warehouse to effectively resolve issues, advise of live outbound load status by updating Teams log, initiate trailer swaps as needed, discuss live driver appointments, and obtain doors for possible temperature abuse unloading.
Coordinate inbound rail receipts between the railroad and warehouse operations.
Communicate with carriers via email and/or phone and advise them of any issues with trailers or ask questions regarding their loaded and empty trailers.
Operate/drive company vehicle safely on premises to conduct yard checks, temperature checks, and other duties as assigned.
Maintain accurate files and filing systems to include transportation documentation and other miscellaneous documents.
Write, accurately type, or enter information into the computer to prepare reports and copy information from one record to another. Proofread records and forms to verify accuracy.
Print Outbound BOLs and Outbound Load Forms for One Way Carriers.
Retain and sort one copy each of RDC BOLs, Outbound Load Forms, and non RDC BOLs by plan date in order of CS#s as listed on Shipment List to be scanned into Sysco’s record retention system.
Email copies of drop carrier’s inbound BOLs to designated warehouse DL on gate printers.
Email inbound pallet BOLs to designated DL on gate printers, scan BOLs to Share Points pallet folder, and retain original copies to be turned in.
Responsible for the neatness and cleanliness of assigned work area, accuracy of yard locations, and maintaining safe conditions in travel lanes.
Maintain the gate house and surrounding area in a safe and clean condition, including shoveling snow, sweeping, spreading ice melt/salt and absorbent materials as needed.
Perform tasks and operate appropriate equipment in a safe and orderly manner to reduce accidents and injuries.
Establish and maintain effective communication and coordination with coworkers.
Perform other yard management duties as assigned.
Ensure guard house computers, office equipment, and RF (radio frequency) equipment are used in a safe and professional manner.
Keep equipment and supplies stocked as needed.
Ensure guard house equipment is maintained (daily inspection) and clean; report repair or service needs to supervisor to reduce equipment damage.
Observe and enforce all safety rules to reduce accidents and injuries.
Report any unfixable/unsafe issue to supervisor.
Report to work area properly dressed and wearing appropriate personal protective equipment.
Understand and comply with all applicable company policies (i.e., attendance, Code of Business Conduct and Ethics, Associate Handbook, etc.).
Comply with all applicable State/Federal laws, regulations, and policies (i.e., OSHA, HACCP, etc.).
Accept additional responsibilities or special projects as requested. Other duties may be assigned.

EDUCATION AND EXPERIENCE
High school diploma or General Education Diploma (GED) preferred, or one year warehouse, transportation or yard related experience and/or training, or equivalent combination of education and experience. Basic math and computer skills are required. Experience with Microsoft Suite (i.e. Word, Outlook, and Excel) required.
LANGUAGE SKILLS
Must have ability to read and comprehend basic instructions, short correspondence, and memos. Ability to read and write simple correspondence. Ability to speak effectively in one-on-one and small group situations. Ability to communicate effectively with co-workers, visitors, and outside contractors.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Must possess excellent organizational and problem-solving skills. Must be able to effectively interact with different personalities and levels of people. Must be able to work in a proactive manner, address issues, and solve problems by using previous education and experience in identifying appropriate actions.

WORK ENVIRONMENT
The work environment characteristics described here are representative of those an associate encounters while performing the essential functions of this job. Job is performed in a guard house and warehouse operations/transportation yard environment. While performing the duties of this job, the associate is continuously exposed to moving motor vehicles or other mechanical equipment, all types of outside weather conditions (such as temperature, precipitation, and humidity) and vehicle emissions. The noise level in the work environment varies from moderate to loud.
WORK HOURS
This is a full-time position. The incumbent must have the ability to work a varying schedule which might include shift work (days or nights), weekdays or weekends, and some holidays. Work hours may vary or change based on customer order or departmental requirements.
