The Outpatient Rehab Front Office Coordinator plays a key role in managing the administrative and clinical processes of our outpatient rehab department. Working under the Front Office Manager, this role trains and supports new and existing employees, including Patient Service Representatives (PSR) and Patient Account Representatives (PAR).
The coordinator ensures all staff are well-trained, competent, and knowledgeable in their roles, supporting a safe, age-appropriate, and culturally sensitive approach to patient care. This position serves as a resource for the team, promotes effective communication across departments, and supports the professional growth of outpatient rehab staff. The coordinator also participates in performance improvement initiatives to enhance patient care quality.
Core Responsibilities:
Training & Onboarding
Coordinate training for new and current outpatient rehab PSRs and PARs, ensuring they fully understand job duties and department requirements.
Develop and maintain training materials in collaboration with department managers.
Assist with hiring by reviewing resumes, conducting interviews, and supporting the selection process.
Keep accurate records of all employee training and certifications.
Perform quarterly front office audits across outpatient rehab clinics and report findings to the Front Office Manager.
Stay updated on new procedures, processes, and equipment, and assist in ongoing education for the team.
Staff Development
Serve as a mentor for staff development, fostering a culture of continuous learning.
Stay informed on the latest healthcare trends, evidence-based practices, and best teaching methods.
Assess staff learning needs quarterly and implement innovative training strategies.
Provide feedback to department managers about employee performance and development needs.
Cross-Department Communication
Act as a liaison between outpatient rehab leaders and staff to address education and training needs.
Provide performance-related feedback during orientation, training, and ongoing education to assist in performance reviews.
Additional Duties
Ensure all educational programs meet WellStar standards.
Provide coverage for front office staff as needed to ensure smooth operations.
Comply with all WellStar Health System policies and codes of conduct.
Required Qualifications:
Education:
High School Diploma or GED.
Experience:
Minimum 2 years of experience in a healthcare or medical office setting.
Experience in Physical, Occupational, or Speech Therapy is strongly preferred.
