Reporting directly to the Assistant Dean, Experiential Education coordinates the day-to-day operations of the Office of Experiential Education providing administrative clerical support and assisting with the quality control management of clinical education within the Pharmacy program. Processes a considerable amount of confidential and sensitive information in support of administrative activities that includes ensuring excellent communication, organizational and customer service to associates, students, and clinical practice sites.

 

Essential Functions & Responsibilities :

 

  • Coordinates the day-to-day operations of the Office of Experiential education; providing administrative clerical support and assists with the quality control management of clinical education within the Pharmacy program.
  • Reviews incoming correspondence and directs timely distribution and execution.      
  • Assists with the maintenance and distribution of experiential program outlines, experiential manuals, and other associated mailings to students, preceptors, and clinical practice sites.
  • Communicates effectively (via e-mail, telephone, or face-to-face) with preceptors to coordinate and manage experiential schedules, evaluation completion, student attendance, and any other student-related inquiries; and assist, where possible, with the resolution of issues that may arise.
  • Maintains appropriate affiliation agreements, business associate addendums, and other documents related to all School of Pharmacy experiential practice sites.•         
  • Coordinates the distribution of required Certificates of Liability insurance, including general and professional liability and student accident policy, which cover student pharmacists during their clinical training.
  • Communicates with the University Facilities department to have preceptor groups added as placeholders (when required) through the broker.
  • Manages the School of Pharmacy experiential learning management system (ELMS); acts as liaison between WCU IT Department and the ELMS utilized in the program, when required assists in the resolution of hardware and software issues that may arise.
  • Coordinates the scheduling of student pharmacists during their IPPEs and APPEs, and resolves any scheduling conflicts with students, preceptors, or clinical practice sites.
  • Reassigns students in cases when IPPE/APPEs are canceled by the preceptor. This includes resolving any missing assignments on students' schedules and contacting students to make ensure a practice site is secured.
  • Communicates effectively (via email, telephone, face to face) with students to assist with scheduling, conflicts, attendance, absences, and any other student related issues pertaining to experiential education.
  • Maintains appropriate files and documentation on students, preceptors, and clinical practice sites.
  • Manages student academic performance evaluations and reports grades to the Office of Academic Affairs/Registrar.
  • Works directly with the Assistant Dean, Experiential Education to ensure a comprehensive, cohesive experiential education for all students throughout their clinical training in the School of Pharmacy.
  • Maintains regular and timely attendance, reports to work as scheduled and assures time worked and/or time- off is recorded properly.
  • Conducts job responsibilities in accordance with the standards set out in the University's Code of Ethical Conduct, Compliance Agreement, Sexual Harassment Policy or any of its policies and procedures, applicable federal and states laws, and applicable professional standards.
  • Maintains established department policies, procedures and attends in-services and other required meetings.
  • Maintains confidentiality of all student, preceptor, associate, and/or university information as required.
  • Exercises care, proper use and maintenance of department equipment and supplies and identifies unsafe conditions and makes appropriate adjustments.
  • Maintains order, cleanliness and safety at work.
  • May perform other duties as assigned.

 

Education:

  • High school graduate or equivalent required.
  • Bachelor's degree in communications, administrative sciences or education-related field preferred.

             

Experience:

  • Two to three years of experience performing complex administrative duties, preferably including some administrative support work for one or more managers in an academic or business office environment.
  • Any combination of education, training or experience that provides the required knowledge, skills and abilities to be able to demonstrate that they can perform the job functions associated with the position listed above.
  • Ability to handle detail-oriented assignments; effectively prioritize and schedule workload, with demonstrated organizational skills.
  • Comprehensive knowledge of office systems, practices, and administration.
  • Experience with MS Office that includes word processing, spreadsheets, and presentation software.
