Summary:

Assist the Vice President and Trust Real Estate Manager in the administration of daily tasks for all real-estate assets held in trust. Work cohesively with other department staff in daily property management for residential, agricultural, and commercial property. Flexibility, accuracy, and attention to detail are key to success in this position. Demonstrate ownership and accountability for data integrity in multiple databases. Support the department in meeting bank and federal compliance requirements.

Responsibilities:

• Primary daily responsibilities: Payment of property bills including utilities, homeowner’s associations, insurance, legal expenses, property maintenance, and regular service contractors such as yard maintenance, and pest control. Process checks for rent, crop, and mineral income payments. Confirm payments have posted correctly and update department tracking spreadsheets. Must be comfortable communicating with vendors, contractors, county real estate tax and assessment offices via both phone and email.

• Process all property tax bills from multiple states and counties. Perform internal department records keeping process for all those payments. Prepare letters requesting tax and insurance reimbursements from tenants when applicable.

• Administrative processing of incoming appraisals, new leases, and insurance policy renewals. Save electronic copies to database, and paper copies to department files.

• Assist in on-boarding new properties: Communicate with department account manager’s regarding the needs of the beneficiaries. Prepare and submit asset set up form. Set up paper files and update multiple databases with new property information. Contact vendors to add services and/or revise bank billing information. Set up or revise insurance coverage. Pull flood zone certifications. Set up tax cards.

• Assist in off-boarding sold properties: Review and analyze property settlement statements to process sale proceeds appropriately. Retain and organize paper and electronic copies of all closing documents. Cancel all vendor services including utilities, regular property maintenance contracts, and insurance. Track final bill payment and refunds due to the account.

• Assist in transfer of properties between accounts: Submit asset transfer requests to accounting. Revise account numbers on all paper files, electronic files, and insurance policies.

• Assist in monthly account review preparation, and miscellaneous research projects.

• Serve as an external liaison between the Real Estate Department and trust beneficiaries, county offices, vendors, and occasionally with contractors. Serve as an internal liaison with Trust Department account managers, accounting, and other bank departments.

• Assist the Administrator in daily duties such as faxing, copying, delivering of documents, answering phones, loading documents in Compliance Services and serving in a backup role in the absence of administrative officer

• Other duties as assigned and as needed to assist with shared responsibilities of the department.

• Extreme attention to detail including meticulous organization of and attention to physical filing.

Qualifications:
• College degree or equivalent experience in general business, finance and operations
• Five to ten years’ work experience
• Experience in Trust, Banking, Investment management and back office solutions
