LSF is looking for a talented Administrative Assistant who would like to make an impact in the lives of others. 

The schedule for this role is Monday - Friday 8:00am - 5:00pm.

Purpose & Impact:

Complete all work assignments provided by the Program Manager have general knowledge of office procedures and equipment, and handle assignments with various levels of complexity.

Essential Functions:

  • Complete monthly statistical reports for all applicable programs, complete EMS data entry, complete and process all Guardian Registration program requirements.
  • Answer phone calls, properly record and forward messages, or make appropriate referrals.
  • Greet all guests and clients in a courteous and professional manner.
  • Assist in sorting and distribution of mail on a timely basis.
  • Maintain logbooks for all intakes. Update forms as needed.
  • Assist in preparation of Direct Pay Voucher’s.
  • Provide administrative/program support for the Program Manager including but not limited to drafting correspondence, scheduling meetings and travel, copy, fax, mail and file.
  • Participate in In-Service training sessions and attend all mandatory training sessions.
  • Attend required staff meetings.

Other Functions:

Perform all other duties as assigned.

Education:

High School Diploma or equivalent required.

Physical Requirements:

Must be able to work in a fast-paced environment and be able to sit for long periods of time answering phone; able to use computer equipment. Must be able to speak clearly over the phone and be professional as well as in person. This position requires entrusted and required to communicate confidential and/or sensitive information from outside this agency.

Experience:

Minimum of three years of related experience is preferred. Hands on experience with computers and related office equipment required.

Skills:

Proficient in Microsoft Word, Excel, and Windows. Able to type accurately with minimal errors, maintain a filing system and have knowledge of general office operating procedures. Data Entry experience. Possess good communication and interpersonal relationship skills.

Other:

Must demonstrate sensitivity to our service population’s cultural and socioeconomic characteristics and needs. Adherence to Florida Law including but not limited to FS 744.

Principle Accountabilities:

  • Reports to the Program manager.
  • Team player with co-workers and Central Services staff.
  • Accurate, complete and timely submission of monthly statistical reports.
  • Organize accurate and complete program files.
  • Adhere to all LSF Personnel policies and procedures.
