Job Description:

 

Performs all sourcing and contract management functions for the account, researching products, service providers, holding suppliers accountable for performance, and liaising with corporate resources. Responsible for ensuring compliance with corporate sourcing and contract management requirements. Takes work direction from Account Team leadership and the local Management Team, as well as Corporate Vendor and Sourcing Management. Work under general supervision following clearly defined procedures and policies.

 

Job Duties

  1. Contract Administration: Manage the administration of IFM contracts, ensuring compliance with all terms, conditions, and performance metrics. Track contract deliverables and timelines, and proactively communicate with the client and internal stakeholders to ensure prompt execution.
  2. Relationship Management: Foster a strong relationship with the client, acting as the main point of contact for contract-related matters. Collaborate closely with the client to understand their requirements, address concerns, and provide regular updates on contract performance and compliance.
  3. Financial Oversight: Monitor and analyze financial aspects of the contracts, including budgeting, forecasting, and expense management. Collaborate with the finance team to ensure correct and prompt invoicing, cost tracking, and financial reporting.
  4. Performance Monitoring: Regularly assess the performance of vendors and subcontractors involved in delivering IFM services. Conduct periodic audits to verify compliance with contract terms, quality standards, and industry regulations. Take corrective actions as necessary to maintain service levels and meet client expectations.
  5. Risk Management: Identify potential risks and proactively develop mitigation strategies. Work closely with legal and compliance teams to ensure contracts align with company policies and legal requirements. Manage any contract amendments, extensions, or terminations as needed.
  6. Reporting and Documentation: Prepare comprehensive reports on contract performance, financials, and key performance indicators (KPIs). Maintain accurate and up-to-date contract documentation, including amendments, correspondence, and related records.

     

Essential Job Functions/Qualifications:

  • Bachelor's degree in business administration, facilities management, or a related field (or equivalent experience)
  1. Proven experience in contract administration, preferably within the facilities management or biopharmaceutical industry
  • Strong knowledge of contract management principles, and industry best practices
  • Excellent communication and interpersonal skills, with the ability to build and maintain strong client relationships
  • Proficiency in financial analysis, budgeting, and cost management
  1. Strong organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  2. Attention to detail and a high level of accuracy in all work performed
  • Proficiency in and MS Office Suite (Word, Excel, PowerPoint)
  • Familiarity with relevant regulatory and compliance requirements in the biopharmaceutical industry is a plus.

 

Work Environment

 

  1. Onsite position 
  2. 20% travel (vendor mtgs, team mtgs) 

 

Organizational Relationships

 

Reports to the National Account Director and also interacts with all Account Site Leaders as well as client and corporate sourcing counterparts on a routine basis.
