Entertainment – Administrative Production Supervisor

WHAT WE PROVIDE:
This is a part- time with benefits position at Six Flags Fiesta Texas, in San Antonio, TX. WHAT YOU WILL BE DOING:
- Work closely with HR in getting new/returning employees through the hiring process from recruitment to Discovery/ Orientation completion to scheduling.
- Budget/Planning
- Communicate with Entertainment Manager/Full Time supervisor to develop a plan for labor each season
- Monitor and track labor budget
- Assist Entertainment Manager/ Full Time supervisor with department forecasting and tracking expenditures.
- Project coordination:
- Coordinates and serves as a primary liaison for the following projects and processes - Time, Attendance, Special Events, Performer Housing, etc.
- Proactively follows through on all aspects of projects.
- Tracks project status and proactively communicates updates and/or reminders.
- Maintain radio and phone log for department.
- Acquiring and distributing general venue supplies.
- Process and Procedure Documentation:
- Develops and documents key processes and procedures related to positions responsibilities.
- Performer Housing- setup, contracts, lease agreements, payments, contract cleaning, etc.
- Scheduling/Timesheets
- Post department schedules two weeks or more in advance
- Communicate with other production supervisors regarding timely scheduling
- Ensure that all production supervisor schedules are inputted both in Optim8, as well as in Smartsheets at least two weeks in advance.
- View timesheets to ensure all necessary staff are taking breaks, clocking in/out, etc.
- Performs related administrative work such as typing, filing, copying, sorting, information management, and distributing mail/ memos accordingly.
- Coordinate and attend weekly staffing meetings, providing an agenda, if requested.
- Support department functions by assisting with events and operations as needed.
- Take meeting minutes and distribute accordingly within a timely manner.
- Answer desk phone and greet visitors. Take an distribute messages as needed.
WHAT YOU WILL NEED:
- Be at least 18 years of age
- Has obtained as a minimum a high school diploma or GED.
- College degree in Management, Communications, or Finance preferred.
- Proven technical skills (Word, Excel, Power Point, and various theatrical equipment).
- Excellent oral and written communication skills.
- Strong follow-up/follow through skills.
- Strong organizational skills.
- High degree of initiative, accuracy, efficiency, and attention to detail.
- Able to effectively prioritize workload and maintain several tasks at one time.
- Able to balance the development of creative aspects and business processes.
- Effective conflict resolution.
OTHER FUNCTIONS:
- Serves as an information resource within and outside of department.
- Performs administrative functions to support department manager and full-time staff.
- Supports department operations.
- Works on special projects and other ad-hoc requests as assigned.
