This is a hourly, non-exempt role. This position will be located onsite in San Diego, California at Rancho Bernardo Building 3. **This role may be filled at either the Administrative Assistant 2 OR 3 level, based on qualifications listed below** In this role the selected candidate will perform normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail. Reviews drafts and finished documents for appropriate grammatical usage; answers questions relating to office operations and established policies and procedures. Gathers, compiles and reports on information relevant to supervisors assignment. May take and transcribe dictation. Key Responsibilities: Arrange meetings and teleconferences Maintain and synchronize program calendars Arrange travel and prepare associated expense reports Answer questions and solve problems related to office operations and established policies and procedures Coordinate office workspace planning, ordering office equipment, and coordinate with the facilities and IT organizations on office repairs/updates Interface with all levels of Program personnel and Customers Process visit requests, badges and accounts forms Act as the primary focal point for base/site access requests Support coordination and integration of meeting materials Support and collaborate with other Administrative Assistants as needed Support special event planning and catering, such as meal planning, ordering food from caterers, delivering food, clean up and expensing Gathers, compiles and reports on information relevant to supervisors assignment May take and transcribe dictation.
