What will be your daily pursuit?:

As the Operations Assistant, you will play a critical role in ensuring operations run smoothly.  Each day will look different and you will be responsible for a variety of administrative functions at an assigned line of business within Pursuit’s Alaska Collection.

 

What will your compensation be?:

$23-$26/hour DOE

When does this adventure begin?:

This is an extended seasonal full-time position with an anticipated 2 month annual leave of absence in November & December! 

What will you do in this job?:

 

WHAT YOU’LL DO:

OPERATIONS  & ADMINISTRATIVE SUPPORT

  • Record accurate meeting minutes and action items during various team meetings.
  • Distribute minutes promptly and follow up on action items to ensure completion.
  • At the direction of the management team, submit and track incident reports for assigned line of business.
  • Monitor, track, and report on team member training progress and completion within ExpandShare platform.
  • Assist with coordinating team member housing assignments in partnership with Operations management, and Employee Experience Coordinator if applicable to your assigned line of business.
  • Provide additional support to Operations management as requested.

TEAM MEMBER SUPPORT

  • Coordinate and execute new team member onboarding and orientation, in partnership with People & Culture, for assigned line of business.
  • Serve as the initial point of contact for J1 students, assisting with inquiries and providing support.
  • Plan and coordinate team trips and activities in partnership with Operations management, and Employee Experience Coordinator if applicable to your assigned line of business.
  • Plan, coordinate, and execute team communications and town hall meetings for assigned line of business. Collaborate with team leaders to compile relevant information to distribute through communication channels and town hall presentations.
  • Act as the initial point of contact for team members seeking assistance.
  • Address and resolve basic team member inquiries and escalate more complex issues to the People & Culture team.

ANNUAL TASKS:

  • Employee Housing Assignments/Check-ins and Check-outs
  • Create Onboarding Presentations with Property Management Team
  • Town Halls with Local GM
  • Activate Sat Phones, TVs, Cell Phones
  • Storage Unit Organization and Supply Loading to and from Denali
  • Participate in Yearly Operational Meetings
  • Participate in CapEx, Labor, and Operational Budget Planning
  • Employee Transportation Schedule to and from Denali
  • Post Accident Employee Drug and Alcohol Testing

 

MONTHLY TASKS:

  • Onboarding and Orientation
  • Organize Monthly Employee Celebrations
  • Manage Monthly Award Nominations and Communicate Winners – Peak Awards
  • Setup Field Trips and Events (Summer Only)
  • Organization of Information Boards
  • Supply Runs: Anchorage and Fairbanks
  • Assist with any safety meetings & needed reporting/follow-up

 

WEEKLY TASKS:

  • J1 Liaison: Communication, SS# and Bank Account Support
  • Assist in Hiring: Employee Paperwork, IT Requests, Arrival/Departure Schedules
  • Employee Contact and Communication
  • Setup Shopping Trips
  • Enforce Housing Rules and Guidelines
  • Coordinate Housing Issues with Management and Maintenance
  • Expandshare Access and Training Support -Enter Employees Into the System and Track Progress
  • Incident Report Tracking and Documentation – Paperwork Tracking, RiskConnect, Team Communication, Communication with Employee Doctors and Medical Providers
  • Meeting Notes and Information Distribution
  • Provide 2nd Support for Employee Disciplinary Discussions
  • Checking in Weekly Deliveries, Loading Aircraft and Supplies Where Needed

 

 

DAILY TASKS:

  • ADP: How to Clock in and Time Punch Review with Employees
  • Back up Operations Support
  • Interaction with Staff Providing Support for Questions or Concerns
  • Check in with Management Team Members on Support Needs
  • Field Employee Concerns and Address with Management Staff
  • Email and Phone Communication with TAC/Pursuit Team
What skills and experience do you need for this job?:

IDEAL EXPERIENCE:

    • Previous experience in hospitality or a related industry preferred.
    • Exceptional organizational and multitasking skills, with the ability to complete tasks with a high level of accuracy and attention to detail.
    • Strong communication and interpersonal abilities with comfort communicating with a diverse workforce.
