Under limited supervision, the Ward Clerk schedules caregiving personnel in order to provide the highest levels of care to our residents.  The Ward Clerk may perform these functions in any level of care setting including home care.  The Ward Clerk may schedule assessment, appointments and any care assistance required for resident needs. This position also serves a primary role to coordinate information related to medical supplies usage and inventory and distribute supply as needed. 

Shifts Available: 4 10 hour shifts (weekdays only) 7:00AM - 5:30PM

Pay range: $18.50-$26 per hour, depending on experience and shift differentials. 

Job Duties:

  • Manages a pool of Team Members (Licensed nurses, CNAs, RAs, etc.), coordinating and maintaining their schedules, addressing questions, comments, and concerns, as well as providing them with updated information regarding their clients and care plans. Documents changes in the database system;
  • Assists with resident care as needed;
  • Assists Director of Nursing in staffing appropriately licensed/certified team members through preparation and maintenance of daily and monthly schedules as staffing needs arise;
  • Identifies staffing needs based on recurring schedule to Director of Nursing
  • Completes reports, documents and monitors staff absenteeism;
  • Prepares and posts daily schedules for each shift
  • Track resident admissions, discharges, frequency changes, etc. as it relates to staffing;
  • Input data into electronic medical record for billing purposes;
  • Manages both incoming and outgoing calls to staff and clients;
  • Maintains call log, which includes incoming calls from case managers, clients, aides, and other callers, documenting notes of conversations either within the scheduling software or other designated places regarding but not limited to client concerns, schedule changes, hospitalizations, etc.;
  • Ensures supply inventory is adequate for department or Community needs as directed by the Supervisor, DON or ADON
  • Appropriately directs vendors for supplies and equipment, services and repairs; completes requisitions on an as needed basis, orders lab requisitions; while ensuring all invoiced/ordered items are received.
  • Completes monthly audits of expiration dates of central supply such as OTC expire check and nourishments expire check
  • Restock supplies, check oxygen tanks, Nebulizers, Concentrators to ensure proper working condition and readiness of use
  • Must be proficient in the use of a computer for input of resident information;
  • Provides effective and courteous service to all residents, potential residents, guests and co-workers;
  • Makes/confirms various appointments, arranges transportation for residents to and from appointments with family, DAR, and    Medstar and maintains all information in community calendar
  • Perform other necessary functions/duties as assigned by the Administrator or Director of Nursing.

To be successful in the role, you would have:

  • Certified Nursing Assistant License required 
  • Prior CNA or caregiving experience preferred
  • New grads are welcome!
