Sales Administrator, Shipping OfficeLocation: Central Aberdeen, Warehouse Office

Role Overview: We are seeking a dedicated Sales Administrator to join our team at our central Aberdeen warehouse office. In this role, you will be responsible for setting up quotations and processing orders on our in-house system, along with assisting in various office duties.

Key Responsibilities:

Preparing Quotations for Clients:

Input client requirements into our in-house system.Source requested products not stocked in branch using email, telephone, and internet.Communicate swiftly and professionally with clients, acknowledging enquiries and seeking additional information on unclear requirements.

Customer Order Management:

Review client purchase orders to ensure any changes since the quotation are correctly actioned.Liaise with our warehouse and delivery team to ensure goods are correctly prepared and delivered.Maintain all administrative paperwork from order preparation to customer invoicing.Ensure excellent communication from start to finish, including acknowledging receipt of new orders, liaising with clients on delivery timescales and order issues, and providing aftersales assistance.

Additional Duties:

Assist the accounts and credit control teams with queries and scan customer Proof of Delivery documents to Head Office.Support the warehouse and delivery team as needed, including order picking, stock counting, and quality checking.

Essential Skills:

Excellent communication and literacy skills, both verbal and typing, for daily email and phone interactions with clients and suppliers.Proficiency in Microsoft applications, particularly Outlook and Excel.Full training on our in-house system will be provided.

Desirable Traits:

Comfortable working in a fast-paced, demanding environment.Attention to detail and keen observational skills.

Working Hours:

Full Time: Predominantly Monday-Friday, 8am-5pm.Flexibility is essential, with weekend work required on a rota basis.Overtime may be required based on business needs.If you are a proactive individual with excellent communication skills and a keen eye for detail, we would love to hear from you.
