Job Purpose:

To ensure the efficient and effective management of all CCS compliance processes within the organisation. The Compliance Coordinator plays a vital role in overseeing compliance activities by updating accreditation portals, coordinating internal audit schedules, managing reports driven by Protean and supporting all departments in compliance related matters.

By meticulously executing these responsibilities, the Compliance Coordinator contributes to the smooth operation of the organisation and ensures compliance with regulatory requirements and internal policies.

Duties:

  • Manage accreditation portals and ensure certificates are uploaded when requested and on renewal
  • Create and manage contracts in Protean for tooling/assets & IT equipment
  • Create office and site staff profiles in Protean for Sub-contractors
  • Coordinate the calibration of tools ensuring that all calibration is kept up to date
  • Approve all new subcontractors and manage completion of PQQ pre-approval compliance checks
  • Liaison with insurers on day-to-day queries and providing renewal data. Deal with any non-fleet related claims or notifiable events.
  • Manage compliance inbox ensuring all emails are responded to within 24 hours
  • Maintain the company Internal & External Audit plans. Diarise and send out a monthly audit schedules to all auditors/auditees and chase completion.
  • Collate audit results centrally and report to the appropriate internal stakeholders
  • Manage the audit contract in Protean and report to contract managers including chasing of all overdue audits
  • Provide oversight for all legal register actions/reviews. Ensure open actions/reviews are completed in a timely manner and chase where necessary.
  • Ensure the CCS Business Continuity Plans and Risk Registers are reviewed regularly and kept up to date. Coordinate input from all areas of the business and update in response to any risk or changes to the business.
  • Distribute weekly compliance reports for clients
  • Collate articles from all areas of the business and distribute the monthly CCS Newsletter
  • Provide Compliance Inductions to new starters as part of the company onboarding process.

Experience Required:

  • Experience with contract management systems, such as Protean is preferred
  • Proficiency in Microsoft Office suite and other relevant software applications
  • Experienced in maintaining audit plans, reporting results, and overseeing legal compliance
