We are currently recruiting for a Financial Planning practice based in Deddington who are looking to recruit a Part-Time IFA Administrator to join their team. 3 days a week Tuesday-Thursday. This would be supporting one Financial Adviser and Paraplanner

Job Description

  • Liaising with clients to obtain personal information, NI numbers, addresses and policy details. Confirming change of address
  • Answering phone calls and allocating the relevant follow up
  • Booking meetings and follow up appointments. Running all diary and schedules through activity management and outlook
  • Sending pre meeting information, letters, maps and welcome packs
  • Sending follow up letters and requesting ongoing information
  • Dealing with providers to obtain: Quotations, illustrations, transfer values, plan encashment and surrenders
  • Completing compliance requirements and Anti Money Laundering checks for all clients
  • Producing weekly cash reports via Transact
  • Updating CRM with new client information and updating existing client details
  • Submitting new business online. Obtaining quotes via The Exchange / Web Assure
  • Liaising with accountants and solicitors for mutual clients
  • Managing Letters of Authority from start through to collation of information
  • Dealing with Providers to instruct sales (with the guidance of the planner) and transferring cash into and out of plans
  • Pension Transfer establishment and dealing with external pension providers
  • Arranging annuity details and drawdown set up
  • Entering fees and adviser charges on CRM and sending invoices to clients and providers
  • Review pack preparation
  • Create and send out Adviser Charge letters and emails to all clients
  • Stationery and office supplies ordering
  • Handling post - daily
  • Scanning - daily
  • Maintenance of office - clean working environment. Team refreshments
  • Setting up meeting room and clearing afterwards. Refreshments and meet and greet. This can be for zoom or in person
