  • Part time office basedrole ~ Tuesday to Thursday

Job Description:

The Financial Services Administrator will play a critical role in supporting the financial planning team by managing client communications, maintaining compliance standards, and ensuring the smooth operation of administrative tasks. This position requires excellent organizational skills, attention to detail, and a proactive approach to problem-solving.

Key Responsibilities:

Client Liaison:

  • Liaising with clients to obtain personal information, such as National Insurance numbers, addresses, and policy details.
  • Confirming changes of address and updating records.
  • Answering phone calls and ensuring appropriate follow-ups.

Diary & Scheduling:

  • Booking meetings and follow-up appointments.
  • Managing diaries and schedules via activity management systems and Outlook.

Correspondence:

  • Sending pre-meeting information, letters, maps, and welcome packs.
  • Preparing and sending follow-up letters and requesting ongoing information.

Provider Liaison:

  • Obtaining quotations, illustrations, transfer values, plan encashments, and surrenders.
  • Managing Letters of Authority (LOAs) with a 2-day SLA for collation of information.

Compliance & Reporting:

  • Completing compliance requirements and Anti-Money Laundering (AML) checks.
  • Producing weekly cash reports via Transact.

CRM & Data Management:

  • Updating CRM with new and existing client information.
  • Entering fees and adviser charges into the CRM and issuing invoices to clients and providers.

New Business Processing:

  • Submitting new business applications online.
  • Obtaining quotes via The Exchange/Web Assure.

Meeting Support:

  • Preparing review packs and attending client meetings or post-review meetings as needed.
  • Organising calls to action through activity management systems.

Collaboration:

  • Liaising with accountants, solicitors, and other professionals for mutual clients.
  • Handling Power of Attorney (POA) arrangements and setup.

Investment Administration:

  • Dealing with Transact to instruct sales and transfer cash into and out of plans (under planner guidance).
  • Managing pension transfers and liaising with external providers.
  • Setting up annuities and drawdown arrangements.

Office Administration:

  • Ordering office supplies and handling daily post and scanning.
  • Ensuring a clean and organised working environment.
  • Setting up and clearing meeting rooms, including providing refreshments for in-person or Zoom meetings.

Training & Development:

  • Completing a structured training path and exam schedule.
  • Attending in-house and external training sessions or seminars.

Requirements:

  • Previous experience in financial services administration.
  • Strong attention to detail and organisational skills.
  • Excellent communication and interpersonal abilities.
  • Ability to manage multiple tasks efficiently in a fast-paced environment.
  • Proficiency with CRM systems and financial platforms such as Transact and The Exchange is a plus.
