Ideal Candidate:
  • At least 1 year of experience (all levels, including more senior, will be considered) in an administrative role.
  • At least 1 year of experience (all levels considered, including more senior) in client care or customer service.
  • At least 1 year of experience (all levels considered, including more senior) working in personal injury.
  • Strong attention to detail.
  • Ability to prioritize tasks efficiently and work to deadlines.
  • Proficiency in computer use, including MS Office and case management systems.
  • Familiarity with email systems, online portals, and other relevant technology.
  • Ability to communicate effectively, both verbally and in writing.
  • Excellent telephone manner, client care skills, and enthusiasm.
  • Ability to work independently and as part of a team.

Role Responsibilities:
  • Provide general administrative support as part of the Client-Facing Concierge Team, ensuring top-tier customer service is always delivered.
  • Accurately transcribe correspondence and documents following instructions from Fee Earners, demonstrating strong attention to detail, spelling, and grammar. This includes proofreading legal documents.
  • Prepare and assemble court documents and bundles for trials, as well as other necessary paperwork for counsel.
  • Attend client meetings with Fee Earners, take accurate hand-written notes, and prepare detailed attendance records reflecting client instructions and legal advice given.
  • Perform essential clerical tasks, such as filing data and completing routine office duties as assigned by departmental Fee Earners.
  • Schedule court depositions, hearings, and meetings, manage client bookings for advisory sessions following initial contact, and maintain accurate calendar agendas for Fee Earners.
  • Assist with reception and cover duties as needed, delivering efficient, professional, and courteous service.
  • Communicate with clients via phone, email, and face-to-face meetings, and liaise with other solicitors and professional organizations, always maintaining excellent customer service as part of the Client-Facing Concierge Team.
  • Set up client files in the case management system and ensure compliance with Solicitor and Client Due Diligence processes.
  • Request essential transaction documents and follow up with clients and work providers to ensure their timely return, progressing transactions as needed.
  • Accurately log correspondence to the appropriate files or cases and enter relevant data into the case management system.
  • Complete tasks and update the case management system accordingly.
  • Meet all key Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) as required by the department or referrers.
  • Act as a role model by demonstrating effective file management, actions, and professional behaviour.
  • Always ensure compliance with all PMPL policies and procedures.
  • Attend and actively participate in team meetings.
  • Report on all responsibilities directly to senior management.
  • The role is based in Barnsley, though there may be occasional requirements to assist other business areas. You will report to the Senior Manager – Admin & Concierge Teams, and in time, any appointed Team Leader.
