Office Manager / Document Controller

Our client is a specialist contractor providing advanced fire protection systems and life safety solutions across the UK and Europe.

Due to growth, our client is seeking a Office Manager / Document Controller to join their experienced and growing team.

You will be responsible for managing incoming communications, logging new jobs, and overseeing document control to ensure compliance with relevant standards. Additionally, you will provide administrative support to multiple departments and assist with tender submissions and document management.

Office Manager / Document Controller

Position Overview:

  • Manage incoming calls, emails, and other communications, ensuring prompt and professional responses.
  • Log new jobs into the company's system, ensuring all necessary details are recorded accurately.
  • Oversee the control and management of ISO documentation, ensuring compliance with relevant standards and procedures.
  • Provide administrative support to the Operations, Estimating, and Commercial departments, assisting with documentation, reports, and correspondence.
  • Assist with filling in various template documents as per instructions and ensure timely submission of all required documentation.
  • Assist with preparing and filling tender information documents (ITTs) and upload them to client portals.
  • Maintain and update document registers, ensuring version control and accessibility of records.
  • Support the management team with ad-hoc administrative tasks as required.

Office Manager / Document Controller

Position Requirements:

  • Proven experience in office administration and document control, preferably within the construction or passive fire protection industry.
  • Excellent organisational and communication skills as well as strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
  • Ability to prioritise, multitask and work effectively under pressure.
  • Experience with client portals and tender submission processes is an advantage.
