REED Business Support has a BRAND NEW TEMP role seeking a Switchboard Co-ordinator working for a business in Bath.This role is pivotal as the first point of contact for external enquiries, ensuring that all communications are handled with professionalism, empathy, and efficiency. The successful candidate will also play a key role in the administrative functions of the department, requiring excellent organizational skills and the ability to manage multiple tasks effectively.

Day-to-Day Responsibilities:

•    Switchboard Operation:o    Operate the business’s switchboard, directing calls to appropriate departments or staff memberso    Record and manage incoming and outgoing calls, ensuring accurate tracking and prompt message relayo    Handle sensitive information with discretion, adhering to data protection regulations

•  Department Administrative Support:o    Co-ordinate and manage administrative tasks such as laptop allocation, stationery supplies and travel arrangements for staffo    Support event planning and execution, including booking venues and managing catering arrangementso    Maintain accurate records and inventories, including testing and maintenance schedules for office equipment

•    Communication and Collaboration:o    Build and maintain strong relationships with colleagues o    Participate in meetings and contribute to the continuous improvement of operational processes

Required Skills & Qualifications:•    Proven experience in a customer-facing role, ideally within an administrative setting•    Strong communication skills, both verbal and written, with a friendly and efficient telephone manner•    Ability to manage sensitive information with high levels of discretion and confidentiality•    Competence in Microsoft Office applications, particularly Word and Excel•    Experience with administrative tasks such as scheduling, resource booking, and data management•    Ability to work under pressure, manage multiple priorities and adapt to changing conditions
