Job Title: Junior Project Administrator (Stages/Seating)

Department: OperationsReports to: Project DirectorSalary: £26,000

Job Objectives:

The Junior Project Administrator will lead general administrative support for the Operations team, with a primary focus on Staging and Seating projects. This role involves pre-planning, scheduling, and producing supporting documentation to facilitate the construction team’s site activities.

Key responsibilities include maintaining project folders, updating the ‘Starbase’, keeping the master sales diary, and ensuring project workbooks are accurate and current. The role requires close collaboration with the wider Operations team to ensure project information is accurate, timely, and aligns with client expectations.

Operational Duties:
  • Prepare and issue detailed project workbooks, including delivery schedules.
  • Coordinate with the Operations team to book necessary transport, HIABs, plant, and cranes, ensuring all details are accurately recorded in the project workbook.
  • Inform the Transport Manager of the transport schedule, critical load, and site restriction information.
  • Generate and distribute a comprehensive suite of health and safety documentation, including risk assessments, method statements, insurance documents, structural calculations, and completion certificates.
  • Issue purchase orders and verify the accuracy of supplier invoices.
Health & Safety:
  • Develop and maintain awareness of health and safety documents relevant to your role.
  • Take reasonable care for your own health and safety and that of others who may be affected by your actions.
  • Adhere to the organisation’s Health & Safety policy and procedures.
  • Report all accidents, incidents, and near misses to the SHEQ Manager using the company reporting QR code.
  • Immediately report any equipment defects or risks in the working environment to the Operations team.
Key Skills & Experience:
  • Strong organisational skills.
  • Keen attention to detail.
  • Excellent communication skills, both written and verbal, with the ability to interact with diverse groups.
  • Proficient in IT systems, including spreadsheets and basic software applications.
  • Must be a strong team player.
