Salary: £12ph

Hours: Monday, Wednesday, Friday 9:00-13:00

Responsible to: Property Manager

Holiday: 20 days plus bank holidays (pro rata)

We are looking for an approachable, team player with a background in both customer service and administration. The ideal candidate will have a passion for customer service, focusing on providing a happy and fulfilling lifestyle for the residents. You’ll know when to act with sensitivity and diplomacy, but also have the efficiency and assertiveness to manage the safety and security of the development, displaying good judgment and the ability to be calm under pressure. Although you would be engaging in high levels of social contact with residents, you will be happy working independently and use your own initiative but also keep a close relationship with the managing director.

MAIN DUTIES AND RESPONSIBILITIES

General Responsibilities and Expectations:

  • To proactively oversee the day to day management of the property in accordance with the management agreement and the terms of the lease.
  • To ensure the property is well maintained and any repairs or issues are dealt with promptly and efficiently.
  • Build a good working relationship with both residents and clients of the company and be a positive representative of the company at all times.
  • Provide excellent customer service to the residents, helping residents with any queries they may have.
  • To undertake reasonable additional duties as required

Administration:

  • To log all issues reported on software and ensure these are actioned and updated frequently until a resolution is found.
  • To save all documents received electronically on Shared Drive - using the company policy for naming and saving documents so they can be located by everyone within the team.
  • To report on compliance issues monthly.

Communication:

  • To answer enquiries by telephone and email (ensuring to adhere to the company policy for turnaround times)
  • To ensure that the highest levels of customer care and service are maintained at all times.
  • To remain courteous at all times
  • To build trusting relationships with the residents.

Contractors:

  • To instruct contractors to carry out remedial work as and when necessary.
  • To oversee the operation of all service contracts relating to the property with regards to their effectiveness.

Health and Safety

  • To action health and safety issues appropriately, and within the necessary timeframes following external reports carried out.
  • To make sure the building adheres to Health and Safety requirements.

Reporting & Records:

  • To keep a written note of issues
  • To monitor and review all logs and systems or record keeping.
