Job Purpose:
An administrative officer role with some HR responsibility, you will assist the HR Business Partner in providing support across the whole business and HR support to managers and all employees within the Company. This includes recruitment and selection; employee relations; learning & development; policy and procedures; reward; and project work as required.
This is a support function role covering Operational Support and Human Resources.
The role covers everything from minor administration duties to full-scale projects and ongoing responsibilities; involving interaction across all the business at all levels.
Duties and responsibilities:
To liaise with managers, employees and suppliers to arrange meetings, take meeting minutes and notes e.g. informal and formal meetings as required
Prepare data and create mail merge letters for Companywide letters and mailings
To prepare and submit newsletter articles
To prepare and maintain departmental organisation charts
Plan and organise Company recognition of birthday and personal occasions, as appropriate
To manage the Long Service Awards - reviewing data, preparing and sorting awards, planning and coordinating the distribution
To calculate Attendance Recognition Awards and undertake all supporting admin and communication
Maintain and update employee noticeboards
To complete general administrative duties, including scanning and filing to support the business
To work as part of the office team, including, answering telephones, reception duties and maintain general standards
Support the Steering Team with organisation and co-ordination of events, meetings and appointments.
Responsible for the order of supplies e.g. Tea, coffee, milk, sugar and requests from Inplants to order from Amazon
Support with the arrangements for visitors
Complete monthly/quarterly reports where necessary
Assist the Finance Director with payroll reports each month
The role will support HR across the UK and overseas intermittently (mostly Europe).
Lead on one of the employee wellbeing benefits. Responsible for the vending machine in the canteen, refilling and liaising with colleagues what they would like to see in this.
Responsible for the ordering of the products for the machine and banking the money each month
Lead on the distribution of uniforms and tracking this
Lead on the 'above and beyond' nominations
Organise and facilitate Employee Forum Meetings
To support with employee relations including writing letters compliant with policy and legislation
Supporting the recruitment, selection, induction and onboarding processes for staff
To support the managers with the onboarding admin process, induction training and probation planning and review, ensuring provision and return of completed documents
To prepare and collate completed induction (new starter) documentation
Create reports and required data for KPI tracking and HR Analytics
Manage and update personal and HR documentation
Manage the training records for People Management Training, uploading documentation as required
System admin and personal gateway / log-on
Manage directories and contact information
Absence Management - Supporting the HR BP with the absence management process, supporting managers to deliver the process (including OH referral), administration, monitoring and tracking.
General HR projects and tasks
To support with employee learning and development planning and implementation, e.g. preparing training document packs, planning and coordinating training courses
Employee Relations - supporting in grievance, disciplinary and absence meetings. Once confident and upskilled, lead on providing professional advisory, guidance and support services to managers relating to general people management
To support the drive towards achieving the Investors in People standard
To handle and file confidential information, complying with GDPR and providing admin and support for GDPR functionality

Qualifications:
Level 3 CIPD qualified or equivalent is desirable but not essential
Experienced in PA/HR or other operational activities
Good knowledge of Microsoft Office is required, especially Excel
A high level of confidentiality
Experience with GDPR implementation and practice preferable
Working conditions:
37.5 hours per week. Hybrid working after probation period of 1 day per week.
Core hours are 8:30am to 4:30pm Monday to Friday.
Hours are subject to change and there is a requirement to work the hours necessary to carry out your job, according to the needs of the business; this is accounted for in the salary.
Physical requirements:
Full UK Driving License - you may occasionally be required to travel to other sites across the UK.
