Role Summary:

Reporting to the Head of People, you will provide executive support to the Managing Director, HR and Management Teams on a day-to-day basis and ensure the smooth running of the office environments.

Key responsibilities:

  • Manage diaries, book meetings, hotels, travel and transport ensuring appointments run smoothly
  • Prepare board reports and business presentations as required
  • Manage correspondence and where required telephone calls, ensuring that all communications are dealt with in an appropriate manner
  • Liaise with all stakeholders including shareholders, customers, suppliers and colleagues etc. providing support during site visits, including organising any catering and other welcome arrangements
  • Provide administrative support for the company car fleet arranging servicing and repairs etc
  • Organise and attend meetings taking minutes and action points when required
  • Undertake project work as required to support the business. Examples may include refurbishment of staff welfare and office areas
  • Facilitate Community Group meetings and provide support to help it achieve its aims and objectives

Skills and Experience:

  • Previous experience in a similar role
  • A high degree of confidentiality and discretion is essential
  • Highly developed organisational and time management skills
  • A high level of confidence and self-motivation
  • Exceptional interpersonal and communication skills
  • Ability to work in a dynamic environment with tight deadlines and under own initiative
  • Interact effectively with all senior stakeholders within the business
  • Proficiency in Microsoft Outlook, Word, Excel and PowerPoint
  • Demonstrable understanding of the local community
