Job Purpose
- Ensure the accuracy and timeliness of field offices' fund transfers ledger reconciliation.
- Ensure the accuracy of field offices' expat ledger reconciliation.
- Monitor and track project documentation, ensuring all files are saved appropriately and monthly reviews are conducted to confirm complete project invoicing for ledger for UK domestic projects.
- Contribute to the continuous improvement of the Islamic Relief team.
Key Working Relationships
- Regular liaison and engagement with FCS units, International Team, Regional Desk Coordinators, Regional Finance Managers, IR Family members, and Finance teams and departments.
Key Responsibilities
- Plan and manage workload independently following financial guidelines and desktop procedures issued by the Head of International Finance & Services.
- Monitor ledger and field office transfers monthly to ensure ledger integrity, investigating and rectifying anomalies.
- Track fund transfers, ensuring approvals are complete and liaising with regional finance teams to submit weekly transfer sheets by 12pm UK time every Tuesday.
- Assist with preparing weekly consolidated transfer sheets.
- On AX, report all approved fund transfer journals as ready.
- Review and reconcile the creditor ledger for field offices, addressing any issues with relevant teams to ensure corrections.
Project Documentation Management:
- Ensure all new UK Domestic projects are set up in the ledger with completed documentation and posted invoices.
- Monitor project documentation (e.g., budgets, proposals, SLAs, interim and final reports) and ensure missing items are obtained and saved in the appropriate folders.
Financial Reporting and Analysis:
- Provide financial data to the International Accountant for reporting and analysis.
- Review cash flow uploads for projects and prepare quarterly reports.
- Run monthly field-facing cost atlas reports, reconciling budgeted amounts with amounts posted in the ledger and preparing analysis accordingly.
Expat Salaries and Expenses:
- Ensure expat salaries are processed monthly, and costs are accurately allocated.
- Upload payments and follow up with Barclays for approval.
- Post expenditure into UNIT4 under the expat vendor account.
- Manage reimbursement processes for expat staff paid locally and for staff loans.
Additional Support:
- Support the department and its wider stakeholders.
- Maintain personal professional development.
- Ensure compliance with policies and procedures.
- Undertake other reasonable duties consistent with the role's level of responsibility as required.
- Assist with the help desk as needed.
Person Specification
Essential:
- Studying towards a degree in Accountancy/Finance.
- Studying towards AAT/ACCA/CIMA/ICAEW professional qualifications.
- Evidence of continuing professional development with successful application of best practices in accounting and finance.
- Strong organisational skills with the ability to manage competing deadlines.
- Proficient in Excel, including designing and manipulating reports.
- Ability to exercise sound judgment and make decisions independently.
- Strong written communication skills for preparing procedures, reports, and presentations.
- Excellent verbal communication skills to explain financial information clearly at all levels.
- Demonstrated ability to drive continuous improvement.
Desirable:
- Strong business acumen with an understanding of how the Finance department adds value to operational decision-making.
- Experience operating and extracting data from complex accounting systems.
