Our client is seeking a dedicated and enthusiastic Transport Admin Assistant to join their dynamic team on a temporary basis for 12 months. As a key player in their transport administration service, you'll ensure the smooth operation of the vehicle fleet, complying with all legal requirements and enhancing efficiency. If you thrive in a fast-paced environment and enjoy a variety of tasks, this role is for you!

Summary:

  • Start date: ASAP
  • Duration: 12 months
  • Location: Birmingham - potential travel to the Bristol Office - expenses will be covered
  • Pay Rate: £18.75 per hour
  • Hours: 37 hours per week - Hybrid upon completion of training

Duties Include:

  • Manage the administration and integration of new vehicles, ensuring their records are set up on the Transport Database and included in the servicing programme.
  • Keep the transport database up to date and accurate.
  • Assist in scheduling, ordering, and raising purchase order numbers for new vehicles.
  • Maintain meticulous records of vehicle allocation, transfers, and disposals.
  • Prepare and submit auction forms for surplus vehicles, and check auction proceeds to keep the Transport Database current.
  • Oversee the administration records for the fuel card renewal system, ordering and issuing fuel cards as required.
  • Process purchase orders and receipts through the E5 system.
  • Manage the ordering of long-term hire vehicles.
  • Perform general administrative duties, including filing vehicle maintenance documents and processing incoming mail.
  • Provide assistance with technical queries related to vehicles, plant, and equipment.
  • Contribute to monthly KPI reporting and ensure all procedures are well documented.

Requirements:

  • Strong computer skills with the ability to update records and generate reports.
  • Excellent numeracy and literacy skills, essential for effective communication.
  • Organisational skills and the ability to prioritise tasks effectively.
  • Familiarity with transport industry legislation is a plus, along with a basic mechanical/technical understanding.
