We are looking for an Executive Assistant to join a Charity who provides holistic support to women and their families to overcome the practical and emotional issues caused by Domestic Abuse.

Job Title: Executive Assistant

Salary: £27,500 per annum

Location: Birmingham City Centre

Job Type: Permanent

Executive Support

  • Proactively manage the CEO's calendar, scheduling meetings, appointments, and travel.
  • Monitor and prioritise emails, drafting responses and flagging important issues.
  • Provide strategic support, including preparing reports, briefings, and presentations.
  • Act as the first point of contact for the CEO, managing correspondence and inquiries.
  • Handle confidential and sensitive information with discretion.

Meeting & Event Coordination

  • Plan and coordinate meetings, ensuring the CEO is well-prepared with relevant materials.
  • Attend meetings, take minutes, and track action items for follow-up.
  • Organise external meetings with government officials, stakeholders, and strategic partners.
  • Arrange and coordinate off-site leadership and team-building events.

Financial & Resource Management

  • Assist the CEO and Finance team in budgeting and financial administration, including invoices and staff expenses.
  • Liaise with finance teams to ensure timely reporting and reconciliation.
  • Research cost-effective travel and accommodation options for business trips.

Project & Stakeholder Management

  • Support the CEO in delivering key organisational projects, monitoring & tracking progress, and funders' reporting.
  • Develop and maintain relationships with key stakeholders, including board members, funders, and partners.
  • Represent the CEO in meetings and networking events as required.

Office & Communication Management

  • Oversee administrative functions and ensure office processes run efficiently.
  • Coordinate internal and external communications, including drafting key messages.
  • Maintain a well-organised digital and physical filing system for important documents.
  • Work closely with IT and facilities teams to ensure operational efficiency.

Person Specification:

  • 2 year's experience in an EA, office management or senior PA role supporting executives.
  • High-level proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Good written verbal and interpersonal skills and ability to communicate clearly.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Experience handling confidential information with discretion and professionalism.
