PPT Services Deputy ManagerLocation: Edgbaston, BirminghamContract: Full Time 9am-5pm Monday-Friday, 3-6 monthsSalary: £16.10 per hourAbout the Role:We are seeking a dynamic and experienced PPT Services Deputy Manager for a prestigious educational organisation. This role involves supporting the Post, Portering, and Transport (PPT) Services department, known for its award-winning service and commitment to sustainability. The department provides comprehensive logistics solutions, ensuring first-class service in the movement of students, staff, freight, furniture, and mail.Key Responsibilities:
  • Assist the Services Manager in achieving departmental goals focused on sustainability and customer satisfaction.
  • Manage the distribution and collection of internal and external mail (3 million items annually), the educational organisation fleet (114 vehicles), external vehicle/coach hires (3000 annually), and portering services.
  • Implement Key Performance Indicators (KPIs) and best practices, identify areas for improvement, and support teams in delivering exceptional service.
  • Provide effective leadership and management, including workload reviews, resource allocation, training, performance management, and staff development.
  • Develop and communicate new policies and procedures, conduct inductions, and participate in recruitment and selection processes.
  • Oversee quality control for external vehicle hires, leasing, purchasing, and mail services, ensuring optimal service standards and value for money.
  • Ensure the educational organisation fleet complies with Department of Transport guidelines and legislative requirements.
  • Maintain and operate complex machinery and bespoke business systems, recommending updates as needed.
  • Coordinate departmental Health and Safety, including Managing Occupational Road Risk.
  • Collaborate with the educational organisation’s Insurance Manager to ensure fleet compliance, vehicle insurance, and accident reporting.
  • Provide expert advice on tariffs and services, liaising with various educational organisation departments to ensure efficient and cost-effective service.
Qualifications and Experience:
  • Proven organizational, coordination, and team-management skills with the ability to manage large workloads across multiple areas.
  • Experience in managing supplier relationships and utilizing management information statistics to review services.
  • Extensive experience in leading successful teams and developing leadership skills.
  • Strong negotiation and persuasion skills with the ability to anticipate and shape team/service direction.
  • Excellent written communication skills, ensuring clarity and accuracy.
  • Ability to coordinate and motivate a team across multiple locations to meet processes and timelines.
  • Problem-solving skills to handle departmental queries, implement procedures, and proactively address operational challenges.
  • Effective communication skills to establish and maintain relationships across the educational organisation and with key stakeholders.
