As the first point of contact for visitors, students, and parents, you will play a vital role in creating a welcoming environment while efficiently managing a variety of administrative tasks.

Role Responsibilities:

  • Reception Duties: Greet visitors, answer incoming calls, respond to inquiries, and direct individuals to appropriate staff members in a friendly, professional manner.
  • Visitor Management: Ensure all visitors sign in and follow school safeguarding procedures, issuing visitor badges as required.
  • Student Assistance: Assist students with day-to-day needs, such as issuing passes, helping with schedule inquiries, and answering questions.
  • Administrative Support: Provide administrative assistance to the school's leadership team, teachers, and other staff members, including managing emails, organising files, and maintaining records.
  • Attendance and Record-Keeping: Update and manage attendance records, follow up on absences, and maintain student data systems in compliance with school policies.
  • Document Preparation: Prepare letters, reports, newsletters, and other documents for school communication, ensuring high standards of accuracy and presentation.
  • Event Coordination: Support the organisation of school events, such as parent-teacher meetings, open days, and assemblies, coordinating communications and logistics as needed.

Qualifications and Skills:

  • Experience: Previous experience in a receptionist, administrative, or school-based role is preferred.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with students, parents, and staff.
  • Organisational Skills: Strong organisational and time-management skills, with the ability to handle multiple tasks and prioritise effectively in a fast-paced environment.
  • IT Proficiency: Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with school management software or data entry systems is advantageous.
