We are looking for anAdministrative Assistant to join an established firm of Chartered Accountants providing a range of accountancy and tax services for both businesses and individuals.
The working hours are 9am - 5pm, Mon-Fri (40hrs per week). The successful candidate will provide comprehensive administrative support to ensure the smooth operation of the office. This role is integral to maintaining the high standards of client service and supporting the team of professionals.
Key Responsibilities:
General Administration:
-Manage reception duties, including greeting clients, answering phone calls, and handling general inquiries.
-Maintain and organize office files, both electronic and paper, ensuring they are up to date.
-Handle incoming and outgoing mail, including scanning, filing, and distributing correspondence.
-Order and manage office supplies, ensuring stock levels are maintained.
Client Support:
-Assist in the preparation and formatting of client documents, reports, and correspondence.
-Schedule and coordinate client meetings, including booking meeting rooms and preparing necessary materials.
-Maintain client records and databases, ensuring all information is accurate and current.
-Assist with onboarding new clients, including setting up accounts and ensuring all necessary documentation is completed.
Team Support:
-Provide administrative support to the accounting and tax teams, including data entry, filing, and document preparation.
-Assist with the preparation and submission of client invoices and statements.
-Support the coordination and organization of team events, meetings, and training sessions.
-Perform other administrative duties as required to support the smooth running of the office.
Skills and Qualifications:
-Previous experience in an administrative or office support role, preferably within an accountancy practice or professional services environment.
-Excellent organisational and time management skills, with the ability to prioritize tasks effectively.
-Strong written and verbal communication skills
-Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
-Familiarity with accounting software and CRM systems is a plus.
-High level of attention to detail and accuracy.
-Ability to work independently and as part of a team.
-Reliable and trustworthy, with a high degree of confidentiality.
