Opportunity:
To assist and support the operation of the Projects and Helpdesk department to ensure that administration tasks are managed within the requirements of this busy team.
Our client had been a family-owned business for 26 years, more recently transitioning to an employee-owned business 2 years ago. This has maintained the same high levels of engagement, but has put the people who work in the business every day at the heart of all they do.
The Role:
Reactive helpdesk (this will be 70% of the role)
- Manage incoming calls and emails.
- Log requests for reactive / maintenance call outs on our Service system.
- Arrange for an engineer to attend to site and liaise with the client.
- Collate the relevant paperwork completed by the engineer.
- Collate and create small quotes for the client where further works are required or requested.
- Working and communicating with our own engineers and subcontractors to ensure jobs are completed in a timely manner and engineers fully understand the requirements and are adequately supported.
- Updating client portals where required - and there are multiple systems to navigate.
- Assist the team in all administration relating to inputting orders and organising installations.
- Process PO's and invoices through our system.
- Liaise with the warehouse on stock and deliveries.
- Manage the on call OOH telephone on a rota system
Projects (this will be 30% of the role)
- Assist the project team in required administration tasks.
- Create projects packs for engineers that include relevant plans drawings, kit lists and RAMS.
- Assist with management / collation of completed job forms from engineers.
- Process weekly vehicle checks.
- Assist with collation of engineer timesheets in excel.
- Assist and support Engineers and Subcontractors by telephone, email and face to face
- Creation of products, quotations, sales orders, purchase orders on Sage
- Any other reasonable tasks that are required by your Manager, or wider business needs.
Required skills/experience:
- Enjoy working in a busy environment with the ability to manage competing priorities.
- Be quick to pick up new systems and processes.
- Happy to ask questions and make suggestions.
- Be comfortable with multiple different IT systems
- Have an interest in and understanding of Audio-Visual products in a commercial environment.
- Eager to learn and assist with the development of our systems and processes.
- Be very structured and organised in your approach to work
- Communicate well.
