Job Purpose:

To provide effective and efficient financial support services for a leading education trust and its schools, ensuring compliance with Trust policies and delivering operational excellence at all times as part of the centralised finance function.

Key Responsibilities:

1. Core Purpose

  • Provide support to the Head of Finance regarding resource and business functions of the schools.
  • Provide administration for all aspects of finance and reporting to the Finance and Audit Committee and Board of Trustees.
  • Offer operational financial management support for the schools.

2. Relationships

  • Work closely with the Head of Finance to ensure the smooth operation of finance matters.
  • Provide financial support to team members as required.

3. Financial Management

  • Ensure the schools' financial transactions are up to date, ensuring accurate budget monitoring, in line with the Trust's Financial Management Handbook.
  • Ensure that the schools' financial procedures and clear policy guidelines are followed in all areas of operation.
  • Apply 'Best Value' principles to all relevant purchasing decisions.
  • Oversee ordering, receiving goods, and authorising payments through the schools' financial system, ensuring swift payment of invoices.
  • Manage the schools' cash flow effectively.
  • Provide support to the Head of Finance for external and internal audits as required.
  • Ensure a robust income collection process and ensure timely receipt and accurate recording of all funds.
  • Assist with balance sheet reconciliations on the accounting system (PS Financials).
  • Assist with monthly VAT100 claims and ensure timely submission to HMRC.
  • Input accounting data into the system accurately and efficiently.
  • Assist in the production of financial statements, reports, spreadsheets, and other correspondence as required.
  • Plan and manage own workload to ensure timely and accurate contribution to the schools' monthly financial reporting process.
  • Resolve finance-related queries in a timely manner.
  • Provide finance training to staff with financial responsibilities based on the finance manual.
  • Assist with end-of-year preparation and procedures.
  • Support the Head of Finance in ensuring responsibilities to the schools are effectively undertaken, including delegation of tasks as needed.

4. Governance

  • Support the Head of Finance in the timely production of reports and data for the Finance and Audit Committee and Board of Trustees.

5. Other Duties and Responsibilities

  • Contribute to the wider life of the Trust through partnership work and extracurricular activities.
  • Undertake any other duties as reasonably required by the Head of Finance and/or the Director of Operations.
  • Comply with all policies, including child protection, health, safety, and welfare.

Key Skills and Experience:

  • Minimum 2 years of experience in a similar role within finance administration.
  • Strong organisational skills and the ability to work effectively under pressure.
  • High levels of accuracy and attention to detail.
  • Proficient IT and numerical skills, with the ability to manage large volumes of data.
  • Strong communication skills and the ability to work effectively within a team.
  • Confidence in handling responsibilities and working independently when required.
