Role

Provide general administrative assistance to Programme Management Office (PMO) team, with a specific requirement to operate as the base pass administrator on behalf of the client:

  • Manage the base pass application process for personnel including:
    • Issue base pass forms to applicants
    • Quality check completed forms
    • Maintain register of base passes issued
    • Issue reminders to those with passes requiring renewal
    • Organise temporary access on to site for those without base passes
    • Set up meetings / book rooms
    • Distribute minutes/records of actions and decisions (RoADs); even better if able to produce them
    • Chase team to update action trackers
    • Assist with the maintenance of the monthly drumbeat of activities.
    • Input data into the Information Management System (IMS) system.
    • Provide all necessary information and resources to facilitate audit activities
    • Maintain and update reference documentation as required
    • Prepare for and support the Assurance Manager in quality assurance audits
    • Check the collation of all project artifacts in preparation for gateway reviews
    • Update the ASSURE (onboarding) SharePoint page
    • Review the status of the ASSURE records (initial completion and renewals)
    • Liaise with the PMO Stakeholder Manager to ensure stakeholder organisation charts are up to date.
    • Liaise with the Information Manager to collate all information and access requests to the SharePoint
    • Maintain the team calendar and ensure all meetings are supported by the correct attendees and any associated artefacts

Essential criteria:

  • Security clearances:
    • BPSS – must be achieved before starting
    • SC – can start without SC but must initiate application prior to starting and must successfully achieve it - UK national or have been a resident in the UK for a minimum of 5 years
    • Prepared to work daily on site.

This is a part time role.  Initially 15 -18 hours a week – this could be 3x 5/6 hours or 2x 8hours, subject to discussion.  There is a possibility for the hours increasing later.
