Office Coordinator Salary: £28,000 - £30,000

Based in White City

Office-Based Role

A Global Entertainment company, based in White City, are looking for an Office Coordinator for their UK Head Office. You will be responsible for welcoming visitors, ordering office supplies, support the EA to UK TGM with the management of the office and much more. Looking for an experienced Office Coordinator who has excellent organisation skills, is calm under pressure and has proven experience working within a fast-paced, customer-facing business.

Key Responsibilities

  • Establish a good working relationship with the building relationship team to ensure visitors are signed in
  • Meet and great visitors to the office and escort to host
  • Assist with meeting room bookings and ensure they are kept clean
  • Make sure that the switchboard is working effectively, and that all incoming calls are answered within an acceptable time and standard
  • Support new starters with access passes and office tours
  • Responsible for ordering flowers, cabs, couriers, refreshments or food for meetings, kitchen supplies, post-room equipment, stationery, photocopier supplies and any other supplies as requested
  • Ensure kitchen is cleared of breakfast items daily and self-service area is stocked
  • Manage the post-room to ensure that all incoming and outgoing mail is dealt with
  • Ensure any expenditure is recorded, coded correctly and reconciled against the relevant invoices when they arrive
  • Process any relevant invoices and ensure purchase orders are raised correctly and on time
  • Liaise with cleaners to ensure communal areas are kept clean at all times
  • Liaise with the technical and facilities team with any issues related to office equipment

Skills Required

  • Previous office coordination/reception experience in a corporate environment
  • Previous experience of working within a reception and/or switchboard environment dealing with incoming customer calls
  • Excellent written and verbal communication skills
  • Strong organisation and problem solving skills
  • Proficient with Microsoft Packages including Word, Excel and Outlook
