We are looking for a proactive Office Administrator to join our team. This role is crucial for ensuring the smooth operation of our office by managing daily administrative tasks. The ideal candidate will be a highly organised individual who can manage multiple tasks efficiently and provide support to our staff and management.

Day-to-day of the role:

  • Answer and redirect phone calls, ensuring all communications are logged and directed to the appropriate departments.
  • Take detailed messages and ensure they are delivered to the relevant staff members promptly.
  • Take notes at meetings and provide comprehensive summaries to stakeholders.
  • Manage diaries for senior staff, scheduling meetings and appointments as necessary.
  • Make travel arrangements for staff, including booking transport and accommodation.
  • Order and manage office supplies, ensuring that stationery and consumables for office equipment such as printers are adequately stocked.
  • Manage the booking and organisation of meeting rooms, ensuring they are prepared for meetings and office operations.
  • Perform data entry tasks with high accuracy.
  • Manage filing systems, ensuring documents are stored securely and can be easily retrieved.
  • Organise internal and external events, coordinating with different departments and external agencies as required.

Required Skills & Qualifications:

  • Proven experience as an Office Administrator or similar administrative role.
  • Excellent communication and interpersonal skills.
  • Strong organisational skills with the ability to multitask.
  • Proficiency in MS Office and other office management tools.
  • Experience in handling confidential information and managing office records.
  • Ability to work independently and as part of a team.
