As the Events and Marketing Coordinator, you will play a vital role in delivering exceptional service to our customers and guests while enhancing Future Space’s community presence through effective event coordination and digital marketing initiatives. You will lead the charge in welcoming visitors, managing the end-to-end event experience, and elevating the online presence of our university-partnered brand through engaging social media content. Major objectives of the role:
Event Coordination:
- Serve as the primary logistics lead for planning and hosting community and external events and workshops, from booking to setup, from promotion to execution.
- Work closely with the Innovation Team to help deliver event content that meets the needs of our innovative community of businesses.
- Coordinate the scheduling and management of our on-site meeting rooms, including arranging refreshments and other support, driving revenue in this area wherever possible.
- Monitor the meeting room and event agenda, ensuring each event receives the necessary resources and support.
Marketing & Social Media:
- Act as the creative lead for Future Space’s social media channels, comprising TikTok, Instagram, and LinkedIn, producing and sharing engaging reels, posts and news stories.
- Collaborate closely with the Centre Director to execute the centre’s wider marketing plan, amplifying the brand’s reach and community engagement.
- Engage with online followers and build meaningful digital relationships that reflect the Future Space brand around university-partnered innovation, promoting our achievements and events.
- Maintain the Future Space website, ensuring it remains current with the latest updates, events, and news.
Customer Experience & Reception:
- Collaborate closely with the Customer Experience Assistant at the Front Desk during high-demand periods, ensuring seamless customer interactions.
- Manage opening and closing duties for the centre, alongside our Customer Experience Assistant, ensuring a secure and welcoming environment each day.
- Respond promptly to all incoming questions and event requests via phone, email, or in person at the reception.
- Oversee the working order of centre meeting room equipment, including coffee machines and AV systems, to maintain seamless daily operations.
- Manage and monitor consumables and stationery, ensuring stock levels meet demand and ordering as needed.
- Record and process chargeable ad-hoc services for customers and their guests.
- Maintain the cleanliness and organisation of communal areas and meeting rooms to uphold a high standard of presentation and professionalism.
Person Specification:
Experience:
- Proven customer-facing experience in events coordination, ideally within a business, university, innovation or hospitality environment.
- Familiarity with basic digital marketing principles and producing engaging content for our social media platforms, including some basic video production skills to produce high-quality reels and podcast content for TikTok, LinkedIn and Instagram.
- Confidence in using office equipment and website management, with basic troubleshooting skills.
Personal Competencies:
- Strong customer experience and interpersonal skills with a customer-first attitude.
- Excellent organisational and communication skills, with a knack for multitasking and managing diverse responsibilities.
- A good team worker with the ability to organise others and ensure adherence to core processes and procedures.
