Reporting to: Chief Product and Technology OfficerTemp: 3-4 weeks Remote/Hybrid - Need to be able to get to Bristol or London for business requirements.Your new roleTo deliver high-level, fully confidential administrative and personal support to a team of executives, serving as the primary bridge between the executives and stakeholders.
- Provide thorough, confidential administrative assistance and personal support to the Executive Team.
- Handle and respond to requests and enquiries with discretion and confidentiality.
- Manage complex scheduling and coordinate calendar activities effectively.
- Arrange travel and accommodation plans.
- Monitor, update, and maintain Outlook emails and contact lists.
- Organise and oversee in-person and virtual meetings, conferences, and executive team gatherings.
- Draft meeting agendas, record minutes, log actions, and ensure timely follow-ups.
- Design presentation materials for Town Halls and all Staff meetings.
- Gather and compile data, reports, statistics, presentations, and briefing materials as required.
- Process invoices, expense reports, and mileage claims efficiently.
- Work collaboratively with Executive Assistants across the global organisation and establish connections with external stakeholders as needed.
- Flexibility is key; this list is not exhaustive, and the role holder is expected to perform any duties necessary to support the business objectives and fulfil their role effectively.
What you'll need to succeed
- Demonstrated experience as an Executive Assistant supporting C-Suite.
- Proven track record of successfully managing high-volume workloads in dynamic, fast-paced environments.
- Flexible and collaborative team player, capable of adapting to change and tackling challenges with confidence.
- Extensive experience in performing a diverse range of office administration tasks and responsibilities.
- Proficient in office productivity tools with a strong aptitude for learning new software and systems.
- Confident in building professional networks with both internal and external stakeholders.
- Exceptional time management skills, adept at organising and coordinating multiple projects simultaneously.
- Excellent verbal and written communication abilities.
- Consistently acts with discretion and maintains strict confidentiality.
- Skilled at multitasking and prioritising competing demands effectively.
- High level of attention to detail, ensuring accuracy in all tasks.
- Proactive problem-solver with a solution-oriented mindset.
