A new opportunity for an extremely organised and empathetic Administrator to join this medical team in North Bristol.

There is free onsite parking at the premises and you’ll need to be happy to work on site at the hospital.

The role:

You’ll oversee the scheduling and coordination of patient appointments, consultations, and surgical bookings for procedures. This role is crucial in ensuring a smooth and efficient patient journey, from initial inquiry to post-surgical aftercare.

Part of the week you’ll be based in the reception area in order to meet and greet patients and deal with any queries, the rest of the week will be based in the office with a bigger focus on the administration/secretarial element. You’ll enjoy the variety this role provides and be part of a close-knit administration team who help the clinic run professionally and effectively.

About you:

  • Ideally you’ll have worked in patient coordination within a clinic or hospital
  • Superb administrative and secretarial skills - absolute precision with surgical bookings!
  • Able to engage with patients/the public face to face and over the telephone.
  • Excellent written and communications and customer care skills.
  • A huge advantage if you have experience using private healthcare software (e.g., DGL, Pabau, or similar systems).

Duties:

  • Manage all aspects of the patient booking process, record all enquiries across various social media and online platforms
  • Schedule initial inquiries, consultations, pre-operative assessments, and surgical appointments
  • Act as the first point of contact for patients, providing exceptional customer service.
  • Provide information on procedures, pre-operative requirements, and post-surgical care.
  • Liaise with patients throughout their journey, ensuring they feel informed and supported at every stage.
  • Maintain accurate patient records
  • Process bookings, invoices, and payments, ensuring accurate billing
  • Assist with credit control, ensuring all patient accounts are up to date
  • Liaise with insurance providers or finance teams regarding patient payment plans.
  • Support reception and front-of-house services as needed, ensuring a welcoming environment.
  • Coordinate diary management for consultants and surgical teams

This is a full-time position (40 hours per week, Monday-Friday), with participation in a 1:5 on-call rota and potential future weekend cover (1:4). The weekly hours are fixed, though the working hours may vary over the week to ensure sufficient team cover for surgical lists and clinics. These are confirmed in advance.

The role will be subject to a DBS/criminal convictions check.
