Compass Associates are working closely with a private hospital care in Bristol who are on the lookout for a new hospital operations manager. The centre possesses state-of-the-art facilities where patient and surgical needs will be mapped out in minute detail to guarantee next-level, premium care. The hospital offers high quality exclusive surgical treatments (mostly cosmetic surgery) of outstanding excellence in the perfect environment.

Must have experience in a clinical management in a private sector in a surgical facility

Main Responsibilities

  • To provide the leadership and management necessary to enable the hospital to meet its aims and objectives within a quality-driven, efficient, safe, profitable and effective working environment maintaining a motivated happy and committed team.
  • You are required to be the CQC Registered Manager of the facility.
  • Develop and maintain existing services whilst actively seek new services in order to rent the facility.
  • Ensure the maintenance and advance of high-quality patient experience.

Clinic management

  • Communicate regularly with the Clinic team and clinical practitioners throughout the working week to keep them abreast of any developments in the clinic.
  • Oversee day-to-day running of the clinic
  • Management and coordination of staff
  • Decision making on running of clinic in conjunction with Clinic Director
  • Ensure high productivity and efficiency of clinic maximising use of systems
  • Manage all aspects of Human Resources
  • Participate in on call system (1 in 4).

Customer service

  • Ensure a smooth and efficient patient journey at all times
  • Communicate with team about patient situation & diary at team meetings
  • Maintain a friendly, courteous and professional relationship with patients
  • Ensure queries and phone calls from patients are answered promptly, courteously and efficiently according to established guidelines
  • Ensure delivery of world class service
  • Pro-actively seek feedback on patient experience and immediately praise or rectify
  • Demonstrate 'ambassadorial' service at all times
  • Continually measure, review and develop systems to ensure the patient experience is exemplary
  • Keep abreast of and updated on professional requirements for aesthetic patient care

Financial performance

  • Non-surgical metrics will include (but not be limited to): growth in new and returning patients will be the key metric that will be measured, other metrics include growth and profit margins on medical aesthetic services and product sales.
  • Process all invoices for authorization by Clinical Director.
  • To oversee in-house accounts and billing and liaison with accountants to ensure financial records are maintained to standard.
  • To continually measure, monitor and review financial performance and take remedial action where necessary in conjunction with Clinic Director
  • Ensure correct facility fees are being quoted to Consultants' teams and are being provided to patients.
  • Ensure correct facility fees are being paid by patients within the timeframes specified within Purity Bridge terms and conditions of treatment

Clinic coordination

  • Liaise regularly with Clinic Director to keep good communication channels relating to issues concerning clinic management.

  • Ensure patients are invoiced in a timely manner according to Clinic policies.
  • Oversee cleaning staff - in-house and 3rd party
  • Help with the operational management of the building, including, but not limited to, liaising with contractors, suppliers, builders, insurance companies, landlord
  • Maintain relationship with 3rd party IT provider.
  • Assist in general office duties and reception work as required
  • Oversee coordination of cover for staff leave
  • Develop, review and update practice protocols as required
  • Manage the procurement of practice equipment, supplies and services
  • Ensure all staff are kept informed of policy changes that are made

CQC Involvement

  • Complete understanding of the role of the CQC and regulatory requirements
  • Understanding and familiarity of all existing policies and protocols
  • Involvement in writing new policies and protocols for the clinic
  • Lead CQC inspections.
  • Ensure appropriate evidence is continually collated as per CQC requirements
  • Liaising with Clinic Director regarding all aspects of CQC-related matters
  • Chair regular clinic meetings including Team, Clinical Governance, Medicines Advisory Committees ensuring formal meetings are minuted and distributed by email
