Administrative Coordinator

Reed Cambridge Business Support is working with a business in Cambridge. They are seeking an Administrator to join their team, offering flexible part-time hours. Candidates can choose between working three days per week (Tuesday, Thursday, Friday from 9am to 2pm) or two full days per week (8am to 4pm). This role is ideal for someone with experience in the building sector, who is highly organised and IT literate. The potential start date is Tuesday, 7th January.

Day-to-day of the role:
  • Create and update jobs on the Company’s system, including notes.
  • Input Reactive Maintenance (RM) and Planned Preventative Maintenance (PPM) appointments into engineers’ diaries to meet SLAs.
  • Manage diaries for allocated engineers and contractors.
  • Update and check client portals.
  • Order parts internally as requested by engineers.
  • Track and chase the progress of part deliveries with suppliers.
  • Arrange appointment visits with Clients Building Managers.
  • Schedule return visits for engineers for uncompleted jobs or to fit additional parts.
  • Perform any other ad-hoc duties as required.
Required Skills & Qualifications:
  • Experience in the building sector is preferred.
  • Demonstrable interpersonal skills over telephone, email, and in person.
  • Solid experience working with computers, industry-specific systems, and data entry.
  • Ability to remain calm under pressure and manage clients’ issues and expectations effectively.
  • Ability to work independently and take initiative.
  • High level of IT literacy, including proficiency in Word, Excel, and Outlook.
  • Ability to prioritise workload effectively.
  • Flexibility and ability to work as part of a team.
  • Excellent organisational and timekeeping skills.
  • Adaptability to varying work demands.
