JOB TITLE: TEAM ASSISTANT - LEGAL SECRETARY - CONVEYANCING

Do you have experience in Residential Conveyancing and want to support a busy team? If so, an excellent opportunity has arisen for a Team Assistant for a forward-thinking Law firm based in Milton Keynes. If you are an experienced Conveyancing Assistant or Secretary and possess good IT skills, we welcome your CV.

Main Purpose of the Role:

To provide the team and wider Department with the administrative support they need to allow seamless legal services to clients and help them maximise the amount of time they can spend on client work.

Daily Duties:

  • Extensive client liaison - Interaction with clients, including telephone discussions/meetings and appointment greetings.
  • Answering and directing telephone and email enquiries
  • Taking new enquiries using the new enquiries form
  • Dealing with the financial management and administration aspects of client matters
  • Allocating scanned posts and notifying fee earners of all incoming communications.
  • Management of electronic documents sent from and to external parties, ensuring documents are downloaded
  • Keeping fee earners up to date on the progress of a task(s), communicating always to manage expectations and meet all deadlines.
  • Extensive diary and inbox management.
  • Liaising with Senior Management and fee earners to maintain communication levels internally and externally.
  • Managing electronic documents sent to and from external parties.
  • Produce documents to a high standard.
  • Work with the typists and office administrators to ensure all aspects of the file and communications are managed effectively.
  • Ensuring you have a good understanding of the Solicitors Accounts Rules and all other compliance requirements of a regulated practice.

PERSON SPECIFICATION:

  • Minimum of 6- 12 months of conveyancing experience
  • You can expect full support and ongoing training from the outset with genuine prospects for career progression.
  • Well-organised with good IT and Administration skills
  • Excellent knowledge of Microsoft Office
  • Excellent communication skills
  • Team player
  • Ability to work under pressure to set deadlines
  • Willingness to work well as part of a busy, friendly team
