Job Title: Administrator Location: Cardiff (CF11)Hourly Pay Rate: £11.44Hours: 37.5 per week (Monday to Friday, 09:00 to 17:00)Length of the contract: 3 Months Gi Group are now seeking to appoint an experienced Administrator to our Public Sector client based in Cardiff. The Administrator will take line management responsibility for designated staff and provide administrative, clerical, and secretarial support, which will include word processing, managing mail, managing databases and Microsoft Office applications, answering telephone calls, coordinating bookings, liaising with families and Clinicians, managing generic inboxes, and performing general administrative duties, such as photocopying and filing. Duties of the Administrator

  • Arranging appointments and meetings and maintaining diaries and appointment schedules for the team.
  • Management of electronic patient records, clinic creation, appointment booking, timely outcoming of appointments, waiting list, and case load management. Oversight of data cleansing to ensure that accurate and up to date information is held.
  • Managing shifts, annual leave booking, sickness, and absence of admin staff, as well as any appraisals and training.
  • Creating and maintaining up to date, computerised patient records and recall systems on databases. Updating new referrals on to clinical information systems and maintaining current referrals, ending when advised to do so.
  • Maintaining, scanning, and filing paper records and information, in line with records management principles and service protocols. Ensuring that all letters and results are typed and filed into patient records in a timely manner, prioritising as required, and ensuring information of a highly confidential nature is maintained.
  • Undertaking audio and copy typing duties associated with correspondence, letters, and reports.
  • Making and receiving telephone calls to or from patients, relatives, staff, and external organisations, undertaking appropriate action, recording all relevant messages, and passing clear information to the intended recipient.
  • Ensuring appointment letters and invitations are sent out in a timely manner, as well as recorded and tracked via databases.
  • Sending text message and email appointments and reminders.
  • Maintaining an up to date patient waiting list and assisting in regular reviews and validation as directed by management on a weekly basis.

Role Criteria

  • Educated to GCSE Level, NVQ Level 3, or equivalent qualification and/or experience.
  • ECDL in computer skills or equivalent experience.
  • Previous Public Sector experience and knowledge is desirable.
  • Previous secretarial or administrative experience.
  • Excellent IT skills with the ability to use Microsoft Word and Excel.
  • Excellent written and verbal communication and interpersonal skills.
  • Time management with the ability to prioritise work.
