Smart Solutions Group is seeking a proactive and detail-oriented Corporate Services Assistant to join our Corporate Services team. This role is ideal for a motivated individual looking to contribute to various facets of our corporate functions; such as compliance, HR, Training & office management. Given the sensitive nature of the role, maintaining a high level of confidentiality is essential.
Main Duties of the Corporate Services Assistant:
- Creating a friendly and welcoming atmosphere for both staff and visitors
- Managing relationships with external suppliers & service providers
- Managing local health and safety requirements, for example, fire and first aid cover
- Ensure HR documentation and records are current in the HRIS.
- Manage corporate benefits administration such as the Medical Cash Plan and Private Medical Insurance (PMI)
- Generate reports and employee documentation as requested by HR.
- Maintain company-wide databases to ensure accuracy and completeness.
- Assisting in responding to all incoming enquiries in a prompt and timely manner
- Answer phone calls as part of a weekly rotation for the HR line.
- Take notes and minutes during Business Update meetings and other meetings as requested by Head of HR/CEO or other departments.
- Organise and arrange travel arrangements for Senior members of Staff
- Order and manage office supplies.
- Oversee travel and expense spending through the Purchase Order (PO) system.
- Assisting the HR team with HR tasks, such as maintaining employee records, organising training sessions, and coordinating performance reviews.
- You will support all our staff by maintaining a positive office environment and supporting the Corporate Services team with daily administrative tasks. For the right person, there is a vast opportunity to progress within the team.
Skills & Knowledge
- Proven experience as an Office & HR Assistant or similar role
- Excellent organisational and multitasking skills
- Strong attention to detail
- Proficient in MS Office (Word, Excel, PowerPoint)
- Knowledge of office management procedures and basic HR practices
- Strong communication and interpersonal skills
- Ability to maintain confidentiality and exercise discretion
- Ability to work well under pressure and meet deadlines
- Positive attitude and willingness to learn
