Job Summary:

We are seeking a detail-oriented and proactive Customer & Logistics Coordinator to join our dynamic team. This role is crucial for managing the end-to-end process of customer orders, ensuring smooth communication with our UK warehouse and international branches, and supporting the sales team. You will be responsible for processing customer orders, checking stock levels, organizing despatches, and maintaining a high level of communication across different teams. Additionally, you will support the preparation of the PSI (Projected Sales and Inventory) report and place orders with our in-house factories to ensure timely and accurate product fulfilment.

Key Responsibilities:

Order Processing & Stock Management:

  • Process incoming customer orders efficiently and accurately using our internal systems.
  • Liaise with the sales team to confirm order details, special requirements, and delivery schedules.
  • Check stock availability and monitor inventory levels to ensure orders can be fulfilled in a timely manner.
  • Coordinate stock replenishment and escalate any stock shortages or potential delays.

Coordination with Warehouse & Dispatch:

  • Communicate daily with the UK warehouse to ensure orders are picked, packed, and dispatched according to customer requirements.
  • Track the status of all despatches and resolve any logistical issues or discrepancies.
  • Prepare and issue dispatch notes, shipping documents, and tracking information to customers.

Communication with International Branches:

  • Act as a liaison between our UK warehouse, international branches, and customers to coordinate orders, stock levels, and shipping details.
  • Maintain clear and timely communication across global teams to resolve any issues or delays.

PSI Report Preparation:

  • Collaborate with the sales team to gather sales and inventory data and prepare the monthly PSI (Projected Sales and Inventory) report.
  • Analyze trends in order volume, stock levels, and sales projections to provide insights and recommendations for inventory management.

Placing Orders with Factories:

  • Work closely with the sales and production teams to place regular orders for manufacturing based on customer demand, PSI reports, and sales forecasts.
  • Ensure timely and accurate order placement to meet customer deadlines and optimize inventory turnover.

Customer Service & Issue Resolution:

  • Handle customer queries related to order status, product availability, and delivery.
  • Resolve any order-related issues, including product shortages, damages, or shipment delays, while maintaining a high level of customer satisfaction.

Skills & Qualifications:

Essential:

  • Previous experience in order processing, logistics, or supply chain management.
  • Strong communication skills with the ability to work collaboratively with internal and external teams.
  • Proficient in Microsoft Office Suite (Excel, Word, etc.) and familiarity with ERP or order management systems.
  • Strong attention to detail and problem-solving skills.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Good organizational and time management skills.

Desirable:

  • Experience working in an international or multi-site environment.
  • Knowledge of inventory management and dispatch processes.
  • Experience with PSI (Projected Sales and Inventory) reporting.
  • Familiarity with warehouse operations and shipping logistics.
